Job Description

The Assistant Director of Campus Experience plays a vital role in shaping the on-campus experience for prospective students and their families. This position oversees all aspects of campus visits, recruitment events, and the Greyhound Ambassador Program, ensuring a welcoming and engaging environment that supports the university’s enrollment goals. The ideal candidate is highly organized, detail-oriented, and able to collaborate across departments to create meaningful interactions that showcase the university’s offerings.

This role requires exceptional organizational and communication skills, as well as the ability to manage multiple projects simultaneously. The Assistant Director of Campus Experience will play a crucial role in ensuring that all prospective students receive an engaging and informative introduction to the university, fostering connections that encourage enrollment and student success.

Requirements/Qualifications

  • Bachelor’s degree in a related field (e.g., education, communications, marketing, business); Master’s preferred.
  • 2–5 years of experience in admissions, student affairs, event planning, marketing, or a related field.
  • Proven experience in event planning and execution, including logistics and coordination with multiple stakeholders.
  • Strong public speaking and presentation skills, with the ability to engage diverse audiences.
  • Excellent written and verbal communication skills.
  • Strong organizational skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Experience supervising staff or student employees, including training, scheduling, and performance management.
  • Proficiency in CRM systems (e.g., Slate), Google Office, Microsoft Office, and digital communication tools.
  • Familiarity with university recruitment cycles, enrollment strategies, and financial aid processes.
  • Ability to collaborate effectively with faculty, staff, and campus departments to enhance prospective student experiences.

Responsibilities

Campus Visits & Tours

  • Develop and manage campus visit schedules in collaboration with the Director of Admissions. Evaluate and refine visit offerings to enhance the prospective student experience.
  • Oversee the Campus Visit Coordinator to ensure effective coordination of daily visits, group tours, and special requests.
  • Create and update presentation materials for campus tours and admissions sessions, including print and digital content.

Recruitment Events

  • Plan and execute a comprehensive calendar of recruitment events, including preview days, admitted student days, scholarship events, and virtual programming.
  • Manage event creation, registration, and communications within the Slate CRM system.
  • Coordinate with campus partners such as event services, university marketing, dining services, faculty, and staff to manage all aspects of event logistics
  • Build relationships with faculty and department heads to create major-specific recruitment events.
  • Ensure all visit and event information is accurately reflected on the university’s visit portal pages.

Greyhound Ambassador Program

  • Co-manage the university’s tour guide program, ensuring students are trained to deliver high-quality campus tours.
  • Oversee semester scheduling, timesheet approvals, and regular ambassador meetings.
  • Recruit, interview, and hire new Greyhound Ambassadors and mentors.
  • Develop training manuals, schedules, and engagement opportunities to foster a strong ambassador community.

Additional Expectations

  • Report regularly to the Director of Admissions on visit and event plans, outcomes, and areas for improvement.
  • Serve as a key member of the admissions leadership team, contributing insights on campus experience strategies.
  • Work with marketing and operations teams to develop event materials and maintain data accuracy in CRM reporting.
  • Utilize CRM tools to track visitor interactions, analyze event data, and support predictive modeling.
  • Develop a working knowledge of recruitment and financial aid processes to effectively communicate with students and families.
  • Adhere to university policies, procedures, and ethical standards.
  • Demonstrate professionalism, reliability, and a commitment to creating a positive and inclusive campus experience.
  • Perform other duties, including special projects, as assigned.
