What are the responsibilities and job description for the Administrative Advancement Associate, UI Stead Family Children's Hospital position at University of Iowa Center for Advancement?
Provides administrative support for University of Iowa Health Care Stead Family Children's Hospital fundraising team; independently completes projects of some complexity according to established processes.
**Position allows for some telecommuting/work from home (up to 2 days per week depending upon business need and leader approval). Our office is located in Iowa City, IA.**

- Creates, updates, and modifies prospect plans in database system with little direction; provides reminders and follow up for advancement officers related to prospect plans
- Manages team’s gift intake process which includes working with gift accounting to deposit incoming gifts, ensuring they are deposited in the correct funds, communicating with development staff upon arrival, submitting a TDX when an adjustment needs to be made, and proactively drafting gift announcements
- Plans and coordinates all logistics and agendas for campus visits for prospects and donors; provides recommendations to advancement officers on potential prospects to see in a location
- Manages and executes stewardship cards for donors on a bi-monthly basis
- Creates detailed profile of meeting attendees; summarizes database information and other available information into a profile document for the advancement officer's use
- Creates basic meeting materials and agendas with limited direction; may suggest items to address during common conversations
- Provides proactive calendaring support; independently prioritizes and decides which meeting to move or cancel
- Creates procedures and shares best practices for internal processes; uses project management software in non-standard ways by modifying existing templates to manage workplans
- Answers complex questions from UICA colleagues, external constituencies, and/or donors
- Collaborates with advancement officer on invitation list, making recommendations based on information available; creates project plan in project software and provides work plan management; produces original materials for events (invitations, promotional flyers, program booklets, etc.); provides logistical support at the event
- Submits requests for information from data management; modifies existing queries or writes original queries; reviews information for accuracy and provides basic formatting
Education & Experience: HS diploma 6 years administrative experience, OR associate’s degree 4 years administrative experience, OR bachelor’s degree 2 years administrative experience
