What are the responsibilities and job description for the Assistant Registrar position at University of Jamestown?
The University of Jamestown is seeking a detail-oriented, organized, and motivated Assistant Registrar. The Assistant Registrar performs a variety of tasks in the Registrar’s office related to student schedules and registration, maintenance of academic records, responding to inquiries from students and University personnel, and implementation of University academic policies. This is a dynamic position that includes both frequent communication with others and independent work.
Primary responsibilities include:
- Maintain the Student Information System institutional catalog and advising system.
- Review/update course information in accordance with the University catalog
- Maintain program requirements in the advising system to accurately track student progress toward degree
- Update student degree audits to capture course substitutions/waivers
- Problem-solve technical errors related to advising/student degree audits
- Perform annual audit of course/program information in the University SIS to ensure accuracy of advising system
- Track and process student academic petitions, directed study requests, and grade changes.
- Respond to internal and external data requests, including coordination with other departments to gather required information.
Other important functions include:
- Maintain and update student data records from initial entry through graduation
- Assist students/personnel in navigating academic policies and procedures
- Assist with commencement preparation/conferral of degrees
- Process student registration and program changes in accordance with university policies
- Provide additional support for Registrar office duties as required
Minimum Qualifications:
- Bachelor’s degree
- Experience with MS Office Suite (Word, Excel)
- Effective oral and written communication skills
- Experience in providing high-quality customer service
- Demonstrated analytical thinking and problem-solving skills
Preferred Qualifications:
- Experience working with student information systems/databases
- Experience working in higher education
