Job Description Summary:
The Program Coordinator is assigned to assist one or more Program Directors/Principal Investigators (PD/PIs) in the coordination and execution of activities associated with sponsored projects. The Program Coordinator is responsible for working with one or more PD/PIs and their interdisciplinary teams, as well as affiliate sites, to perform post-award activities in a service-focused environment. The Program Coordinator coordinates the day-to-day activities of grant funded projects, including recruitment of sites, program outreach and marketing, communications, logistics and mandatory sponsor reporting. The Program Coordinator reports to the Associate Dean of Research and works very closely with their assigned PD/PI.
This is a 0.80 FTE grant funded position.
Job Description:
Key Roles and Responsibilities
Recruitment of Clinical Sites
-
Coordinate with PD/PIs for recruitment of clinical sites for program participation.
- Facilitate MOA/Letters of Support for newly recruited academic-clinical partners.
Program Outreach and Marketing
-
Actively coordinate with the SON Marketing Manager to market the program to internal and external constituents.

Create, track, submit and manage news brief submissions.

Collect and share spotlight stories on awarded students, preceptors and faculty featuring the grant program and highlighting the grant award sponsor.

Create, track, submit and manage news brief submissions.
- Maintain a distribution list of professional nursing organizations for program outreach and marketing.
Communications
-
Manage communications and timelines for evaluations of academic-clinical partners and preceptors.

Communicate with preceptors on preceptor training.

Communicate with the Office of Student Affairs and Enrollment Management (OSAEM) to facilitate timely scholarship application communication with students each semester.

Maintains meeting agendas/minutes, distributes to collaborators.
Communicates with project team regarding team planning meetings, applicant review. -
Logistics
-
Manage, create, and edit the scholarship award application for applicants in REDCap.
-
Maintain list of applicants and awardees for each semester.
- Maintain online database about grantees, based on sponsor requirements.

Schedule and staff all meetings associated with project(s) (e.g., Team meetings, Advisory Council meetings, recruitment meetings with academic-clinical partners, others as needed).

Arrange on-site and virtual visits with project team and academic-clinical partners including hotel reservations, on-site meeting agenda, virtual meeting invites.

Coordinate purchasing for Grant programs and participate in monthly budget meetings.

Attend all sponsor Technical Assistance meetings.
- Ensure preceptors are receiving preceptor gifts, according to gifting schedule.
Reporting

Manage and document the grant milestone activities progress and completion with attention to deadlines.

Required Qualifications:
Education:
- Bachelor's Degree. Related professional-level work experience may be substituted for degree on a year-for-year basis.
Work Experience:
- One (1) year of related professional-level work experience.
Preferred Qualifications:
Work Experience:

Previous work experience in a School of Nursing or academic setting.

Experience in leading or managing a grant-funded program, including responsibility for oversight of program objectives, budget management, compliance with funding requirements, and reporting outcomes.

Experience with Redcap, Qualtrics, Microsoft Office, Zoom, Teams.

Experience working with faculty, administrative staff and students.
- Experience working independently.
Skills:
- Strong organizational, multitasking, and communication skills.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
