Job Summary:
The Residence and Real Estate Coordinator plays a crucial role in managing and organizing activities, programs, and administrative tasks related to all University-owned residential facilities, both on and off campus. This position ensures smooth daily operations, provides support to faculty, staff, and students, and acts as a liaison between various University stakeholders. The ideal candidate will possess strong organizational, communication, and problem-solving skills to effectively manage multiple responsibilities and contribute to departmental success.
Key Responsibilities:

Program and Event Coordination:
- Oversee all operational aspects of the residential process related to University Facilities and real estate.
- Coordinate with the Office of Residential Experience for residents needing accommodation, health needs, and emergency relocations.
- Plan, organize, and manage student housing selection, room assignments, early arrivals, and late stay requests.
- Coordinate logistics for residential facility programs, including scheduling, space reservations, and material preparation.
- Spearhead residential space reviews through the year and access damages or concerns.

Administrative Support:
- Perform daily administrative tasks, including data entry, record maintenance, and report preparation.
- Respond to inquiries from students, faculty, staff, and external partners.
- Prepare and distribute communications (e.g., emails, newsletters, promotional materials).
- Ensure seamless service between residents and the Facilities Management team regarding work orders and residential concerns.
- Interface with an external real estate/property management company to manage auxiliary assets of the University.

Student and Faculty Support:
- Provide support to students, addressing inquiries, coordinating resources, and offering guidance.
- Maintain and update departmental information, including student records and program documentation.

Budget and Resource Management:
- Maintain housing utilization goals across residential spaces and real estate.
- Assist with budget monitoring, including invoice processing, expense tracking, and financial record maintenance.
- Manage departmental supplies, inventory, and purchasing.

Communication and Liaison:
- Serve as the primary point of contact for operational concerns related to on-campus housing and other University-owned real estate.
- Act as a liaison between the department and other University units.
- Act as a liaison between the University and its external vendors for real estate and property management.
- Attend department meetings, record minutes, and follow up on action items.
- Build and maintain positive relationships with internal and external stakeholders.
- Other duties as assigned
Working Conditions:
The position is primarily based in an office environment, with occasional requirements to attend events outside regular working hours and on holidays. Some lifting and moving of materials may be required for residential space setup. This position is classed as Essential Personnel whenever students or guests are in residence on campus.

Qualifications:
- Bachelors degree in Business, Management, Logistics, or a related field.
- 1-3 years of experience in an administrative or coordination role, preferably in higher education.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with database management.

- Experience in residence life, leasing, property management, or a related field.
