Position Overview:

This position provides essential administrative and program management support to the Graduate School, with a focus on Graduate Student Development and Postdoctoral Affairs. Responsibilities include overseeing various projects, including grant-funded initiatives, and managing key activities such as coordinating schedules, meetings, events, and travel. The role also involves supporting senior leadership by interfacing with high-level colleagues, organizing meetings, gathering information, and assisting with data analysis. Additional duties include managing the USM-wide Marine Estuarine Environmental Sciences (MEES) program, overseeing Graduate Council activities, and supporting the Dissertation Fellowship process. This position ensures the smooth functioning of the Graduate School's operations and requires strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Responsibilities:

Project Management & Support: Provide administrative and project support for the Graduate Student Development and Postdoctoral Affairs Unit, including initiatives like CIRTL, Pipeline, PROMISE, and various grant-funded projects. Handle tasks such as event coordination, scheduling, material preparation, on-site assistance, document/report standardization, file management, and communication (emails, flyers). Assist with travel arrangements for graduate students, staff, and external affiliates, ensuring adherence to university policies, and managing reimbursements and travel funding.

Senior Leadership Support: Act as an intermediary for senior leadership (Associate Deans, Vice Provosts, etc.), scheduling meetings, making travel arrangements, and maintaining confidentiality. Assist with data analysis, project management tasks, research, and preparing materials for leadership meetings.

Graduate Council Support: Serve as liaison for the Graduate Council, scheduling meetings, preparing agendas, taking minutes, and managing communication with faculty, deans, and vice provosts. Coordinate elections, update rosters, and provide ongoing customer service to council members.

Program Management: Coordinate the USM-wide Marine Estuarine Environmental Sciences (MEES) program, handling student admissions, registration, and course scheduling, and tracking student milestones.

Dissertation Fellowship: Manage the Dissertation Fellowship process, including updating the website, coordinating with Business Services for stipend amounts, and organizing the application process.

Other Duties: Provide additional support for events and initiatives within the Graduate School as needed.



Required Minimum Qualifications:

Education: Bachelor's Degree

Experience: Two years experience in administrative staff work. Proficiency in multiple software systems including videoconferencing systems, collaboration software, and data analysis software (i.e. Microsoft excel or Google sheets). Excellent verbal and written communications skills.

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.



Preferred Qualifications:

Knowledge of PeopleSoft or similar student data management system is highly desired. Experience with graphic design software for reports is preferred. Ability to juggle multiple tasks, work with a wide variety of people including tenured faculty and graduate students. Five years of experience preferred.

Salary:

Pay Range 10 (minimum: $48,138 maximum: $79,389) based on the University System of Maryland (USM) Pay Program.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualifications and experience. Most salary offers will be close to the minimum part of the range.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
