Position Summary / Purpose of Position :

The Program Coordinator position is located within the Undergraduate Recruitment and Scholarship Programs unit of the A. James Clark School of Engineering at the University of Maryland. Reporting to the Program Manager for Recruitment and Outreach, the Program Coordinator will lead the Clark Ambassador Program and support all recruitment and outreach activities for the college.

The Program Coordinator will oversee and manage communications for approximately 50 student ambassadors; manage training for ambassadors; respond to requests for prospective student visits; and assist in managing more than 60 Clark School events for Maryland Day. The Program Coordinator will assist in updating recruitment contacts for the Clark School, including high schools, community colleges, and other organizations. Additionally, the Program Coordinator will support the planning and execution of summer outreach programs for high school students. The specific duties for this position include the following.

  • Supervise and manage approximately 50 student ambassadors who recruit prospective students to the Clark School.
  • Maintain consistent communication with student ambassadors via multiple platforms, including email, ELMS, and Track It Forward.
  • Coordinate logistics for College's participation in campus-wide recruiting events such as Admitted Student Open House and Discover Maryland.
  • Coordinate and facilitate all ambassador training and meetings.
  • Coordinate prospective student visits, student shadows, and tours.
  • Coordinate outreach and recruitment events with community stakeholders, including high schools and community colleges.
  • Create, plan, and facilitate engineering-oriented activities / presentations for prospective middle school, high school and college transfer students.
  • Respond to prospective students' inquiries through emails, phone calls, virtual meetings, and in-person meetings as needed.
  • Establish and enforce proper rules of conduct for ambassadors to follow at all times.
  • Prepare logistical details for Maryland Day 2024, which includes but is not limited to :
  • Attending campus-wide Maryland Day meetings.
  • Collecting information from Clark School departments, units, student organizations, institutes, and other affiliates about their proposed Maryland Day events.
  • Planning the locations of Clark School events while accounting for specific needs of the events (such as access to water, access to electricity, accessibility of the events, etc.) and making room reservations, as needed.
  • Communicating regularly with individuals planning Clark School Maryland Day events.
  • Tracking the budget for Clark School Maryland Day events.
  • Ordering and gathering all items necessary for Maryland Day.
  • Preparing any marketing materials for the Clark School Maryland Day events, such as a timetable of events with locations.
  • Act as a main point of contact for Clark School events both in the planning stages and on Maryland Day (approximately 7 am to 6 pm on April 27, 2024).
  • Assist with any post-Maryland Day wrap-up, including documenting notes and feedback.
  • Research potential recruitment contacts (high schools, community colleges, community organizations, etc.) and update appropriate contact lists for the Clark School.
  • Support planning for summer outreach programs, including but not limited to managing communications, ordering materials, reserving space, and planning events.
  • Other administrative and programmatic duties as assigned.

Minimum Qualifications :

Education : Bachelor's degree.

Experience : One year of event planning experience.

Knowledge, Skills, and Experience :

  • Strong computer skills including spreadsheet, database & word processing software.
  • Excellent organizational skills and the ability to execute multiple assignments under specific time constraints.
  • Excellent communication skills, with the ability to communicate effectively orally and in writing with multiple, diverse audiences.
  • Ability to motivate and effectively lead undergraduate students.
  • Careful attention to detail and follow-through, ensuring that multiple audiences have the information they need to create a successful event or experience.
  • Preferences : Preferences :

  • Two years or more of event planning experience.
  • Background in developing college outreach efforts and facilitating hands-on activities to middle and high school students.
  • Experience with undergraduate recruitment.
  • Prior knowledge of or experience with Maryland Day.

    Additional Information :

    Approximately 40 hours per week from January 16, 2024 through July 4, 2024 (estimated).

    Salary : $24-$28 / hour.

    Most work must be conducted on-site but up to two days of telework per week can be arranged when possible. Telework agreements are subject to change at any time. Some evening and weekend hours will be required. (For example, the Program Coordinator will be required to be on campus April 26 and 27 for Maryland Day.)
