Job Summary
The Faculty-Led Programs Coordinator provides essential administrative, marketing, and communications support for the Faculty-Led Programs within the Office of Global Affairs (OGA). This position plays a key role in supporting the development, implementation, and advising of Faculty-Led Programs, including managing program logistics, maintaining program-related documentation, contributing to marketing initiatives, and assisting in student advising to ensure the successful and sustainable operation of Faculty-Led Programs.
Essential Functions
- Assists with regular communication with students and families via email and phone, ensuring consistent support throughout the application process while advising students on faculty-led program accommodations, activities, academics, and finances.
- Coordinates recruitment activities and events in collaboration with the faculty-led program team, program leaders, in-country providers, and student alumni. These include tabling, class visits, information sessions, and semi-annual study abroad fairs. Liases with departmental Marketing and Communications specialists across campus to enhance the visibility and engagement of events.
- Maintains and updates faculty-led program brochures, applications, forms, marketing materials, and other program documentation to ensure accuracy and relevance for each new program iteration.
- Coordinates the planning and execution of virtual and in-person pre-departure orientations for students and program leaders, ensuring all logistics, materials, and schedules are in place. Provides day-of support, organizes participant resources, and prepares, delivers, and tracks make-up assignments for absentees.
- Reviews applicant data for faculty-led programs, prepares reports, and presents findings to the faculty-led programs team to identify opportunities for improvement. Develops strategies to enhance applicant retention and follow-through, ensuring programs meet and exceed enrollment targets.
- Collaborates with the Office of Global Affairs (OGA) registrar to track faculty-led program coursework and student transcripts to ensure accurate academic records.
- Contributes to program debriefs with the faculty-led team, program leaders, and in-country partners. Creates and manages re-entry activities and resources for returning students, and develops, compiles, and analyzes surveys and focus groups data to assess the impact and efficacy of faculty-led programs.
