Job Description

General Purpose of Job:

Lead, plan, organize, staff and evaluate the operation functions of the Helath Information Management (HIM) department including Release of Information, Enterprise Master Patient Index and External Review units.

Essential Duties:

This job description is intended to cover the minimum essential duties assigned on a regular basis. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.

  • Provide supervision of daily activities of the Release of Information, Birth Records, Imaging & Quality Control, and Deficiency Analysis units; Responds to daily operational questions of these units
  • Serves as the key on-site person for daily team communication and workflow organziation.
  • Responsible for annual evaluations of caregivers, filling open positions, corrective action, and timekeepting for associates within unit of responsiblity
  • Organize training of new associates and new processes to all associates for units of responsiblity to include Release of Information, Birth Records, Imaging & Quality Control, and Deficiency Analyst units
  • Monitor the work volumes and make work assignment decisions based on the daily volumes
  • Prioritize the work volumes to ensure deadlines are consistently met
  • Establish performance metrics for all units of responsibility and consistently meet standards
  • Balance payment received for all invoices within Epic and prepare checks for deposit
  • Monitor quality, customer satsifaction and financial performance for units of responsbility
  • Performs complete Release of Information function as needed for urgent requests
  • Participate in departmental process improvement projects. Performs quality monitoring.
  • Recommendation for policy and procedures for the the units of responsibility to align with departmental and organziational policy and procecures as well as HIPAA and HITECH.
  • Maintain integrity of the EMPI- Enterprise Master Patient Index
  • Analyze data and patient information in both computerized systems and physical charts to determine if two or more medical record numbers belong to the same patient
  • Merge medical record files in paper records and iSparrow Charts to display one unique medical record number
  • Merge duplicate medical record numbers in the appropriate computer system(s).
  • Evaluate potential Master Patient Index overlay situations to determine if visits from two distinct patients are contained in one medical record number, and evaluate the steps needed to split the visits in both physical and computerized charts.
  • When needed for MPI analysis, coordinate the retrieval and re-file of medical records frim HIM and other ancillary clincial areas, which store their own physical charts.
  • Provides education in the form of in-house education sessions and serves as a resource to Patient Access, Scheduling, and HIM areas as needed
  • Produces reports for Quality Improvement and Risk Management purposes utilizing the reporting functions within the computerized EMPI Management System. Provides feed back of error rates to Patient Access
  • Serves as a system liason for integrating release of information processes and intgegrity of the Master Patient Index

Job Requirements
General Requirements * Certification as an RHIA or RHIT by the American Health Information Management Association (AHIMA).
Work Experience * Minimum 3 years of functional experience in an HIM Department * Minimum 3 years of HIM - Release of Information experience in an Acute Care Hospital * Experience with Supervising or Lead Release of Information in an Acute Healthcare setting - preferred.
Education * Associates degree in Health Information Management (HIM), Finance, Accounting, Business Administration, Healthcare Administration or related field; OR High school Diploma/GED with a combination of three years equivalent experience.
Specialized Knowledge and Skills * Knowledge of Medical Record format and content for all patient records * Competent knowledge and understanding of anatomy * Competent knowledge of medical terminology * Ability to review record and recognize content * Ability to review record and identify patient identification * Ability to perform job function and make decisions without direct supervision * Detailed Oriented * Strong Computer skills in Microsoft and various healthcare related software applications * Ability to interact with customers in a service oriented manner * Excellent verbal and written communication skills * Excellent Organization skills
