Job Summary

The Gerald R. Ford School of Public Policy is looking for our Assistant to the Dean. Your primary responsibility will be to provide highly responsible, organized, and confidential administrative support to the Dean. You will report to the Strategic Advisor to the Dean.

Responsibilities*

  • Schedule support: Manage the calendar of the dean, exercising a high level of discretion and judgment. Screen telephone calls and visitors, and resolve both routine and complex inquiries. Respond promptly to all inquiries. Schedule key standing events where the dean's participation is required. Prepare daily, weekly and monthly calendar briefings for the dean, including procurement of background material to facilitate effective, informed use of the dean's time.
  • Meeting support: Coordinate closely with the Strategic Advisor to the Dean to schedule and support Executive Committee and Ford School faculty meetings. This may include setting up technology for hybrid meetings, preparing and distributing meeting agendas, organizing materials for distribution at meetings, and taking meeting minutes. Independently schedule other varied and complex meetings, including faculty retreat, and various events. Coordinate meeting prep activities, including: travel, meeting preparation, logistical support and follow-up, and hosting responsibilities.
  • Travel & reimbursement support: Arrange travel logistics and prepare detailed travel itineraries for the dean, ensuring that all necessary files, materials, and supplies are prepared in advance. Reconcile P-Card in compliance with school and university guidelines for self and for the dean.
  • Communication & filing support: Initiate and draft routine correspondence. Review incoming mail and email; sort as to importance and priority. Draft communication and replies or refer to others for response and maintain appropriate follow-ups; sort, screen and distribute dean's correspondence directing matters to appropriate persons for action or follow-up. Meticulously manage the dean's files, both paper and electronic.
  • School support: Play a leadership role in the Dean's Suite, ensuring effective office operations and coverage. Work closely with the Strategic Advisor to the Dean and units across the school to support the dean's involvement in a range of activities, including development visits and high-profile events. Support faculty candidate visits with the Academic HR officer. Collect and distribute important and relevant records as the prime Ford School contact with the Bentley Historical Library. Serve on various staff committees.


Required Qualifications*

  • Bachelor's degree or an equivalent combination of education and experience
  • 5 years of progressively responsible high-level administrative support experience
  • Proven ability to exercise initiative, independent judgment, diplomacy, confidentiality and a high level of discretion when dealing with highly sensitive information.
  • Excellent organizational and communication skills, including the ability and commitment to working with a diverse community of students, faculty, staff, and visitors of the Ford School and the University of Michigan.
  • Excellent written and verbal interpersonal communication skills. Demonstrated editing, proof-reading, writing and minute taking experience.


Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Underfill Statement

This position may be filled at the intermediate level, with a salary range of $70,000 to $85,000, depending on the candidate's qualifications and experience.
