Job Summary

The LSA Department of Anthropology has an opportunity available for a Graduate Program Assistant position. The Graduate Program Assistant has operational responsibility for all aspects of the Anthropology Graduate Admissions process. They have primary responsibility for troubleshooting any issues prospective students may have, particularly in relation to the admissions process. This position works closely with the Graduate Program Coordinator, Director of Graduate Studies, and Chief Administrator, and provides support for the graduate program in Anthropology.

Responsibilities*

Key responsibilities include, but are not limited to, the following:

The Graduate Program Assistant serves as the first-point of contact for prospective student inquiries. Advises prospective students regarding the graduate program requirements. Oversees the graduate admissions (~200 annually) process by providing support to the admissions committee, triaging inquiries, ensuring applications are complete, and notifying applicants of admissions decisions.

Provide staff support for the annual student review and feedback process. Coordinate and communicate opportunities for employment, fellowships, and research to students. Maintain alumni database and placement data.

Process all departmental student financial aid. Maintain accurate and timely financial aid reporting. Serve as liaison with the Office of Financial Aid and the unit Business Office. Assist in compiling data for program surveys and in the preparation of annual student reviews.

Facilitate events related to the graduate program including recruitment day, new student orientation, and assist with other departmental events. The incumbent will update/edit the graduate program and student profiles on the department's website and update/design recruiting and reference materials related to the graduate program. Maintain email groups and mailboxes.

Serve As Back-up To The Department Program Assistant

Provide general office support including triaging walk-in, phone and email inquiries. Ordering supplies, mail/shipping distribution. Liaison with technology services and copier contacts to ensure functionality of department copier, fax, scanning and video-conferencing equipment. Assist to coordinate facilities issues (general repairs).

Back-up support to the undergraduate program. Monitor enrollments/waitlist and process overrides. Coordinate faculty/GSI course evaluations. Process student major/minor declarations.

It is expected that the Graduate Program Assistant will participate in annual and monthly meetings to stay current on University and College policies and best practices, such as the Rackham Graduate Staff Training sessions, the Graduate Coordinators Forum, and L-Grad (LSA Graduate Staff) meetings.

Interpret University, College, Rackham and Departmental policies for faculty, staff, students, and student applicants. Serve as the liaison for the program to units in LS&A and other University units. Serve as back-up for other departmental staff.

Required Qualifications*

An associate degree or equivalent combination of education and experience, with a minimum of two year's experience in an office setting is necessary. Requirements include intermediate or advanced knowledge of Microsoft Office products, particularly Excel and Word, and a strong interest and aptitude for learning new computer processes is required. Also required is a desire to be helpful along with the demonstrated ability to maintain a professional manner under stress, to set priorities while working on multiple projects, to maintain accuracy through repeated interruptions, to communicate effectively both verbally and in writing to a variety of groups including prospective and current students, faculty and staff.

Desired Qualifications*

Bachelor degree or equivalent combination of education and experience. Previous work experience in student services administration. Experience with M-Pathways student administration systems, M-Pathways financial systems, experience with AEM website management (or other content management systems), and knowledge of University and Rackham policies and procedures is highly preferred.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

The expected work schedule for this position is Monday-Friday with the majority of the position's work expected to be conducted on-site.

The target salary range for the position is $39,300 to $49,1000. Higher salary may be possible based on the qualifications and experience of the selected candidate.
