Job Summary
The Records and Data Control Specialist is responsible for performing data entry tasks associated with the intake of admissions documents for undergraduate first-year and transfer applications.
Reporting to the Processing Supervisor, the position will require the individual to acquire and maintain a strong knowledge of the Office of Undergraduate Admissions processes, workflows and procedures. Additionally, the position will also require the ability to navigate various technological systems used to facilitate the work, specifically PeopleSoft Student Information System, Slate Customer Relations Management tool, and Perceptive Content imaging software.

Reporting to the Provost and Executive Vice President for Academic Affairs, the Office of Enrollment Management (OEM) manages U-M?s enrollment function to efficiently optimize students experiences throughout their engagement, from prospect to alumni. The division collaborates with campus partners, faculty, and staff, in support of the university's mission and commitment to academic quality, accessibility, diversity, equity and inclusion.
OEM comprises a dedicated team of more than 200 full-time staff members, and up to 400 additional student and temporary staff and is structured in five operational units-the Office of Undergraduate Admissions, the Office of Financial Aid, the Office of New Student Programs, the Office of the Registrar, and OEM Administration. Responsibilities*
General job duties include:
- 90% Using Slate and PeopleSoft systems to identify student status (prospect, applicant, student, and employee) of incoming materials. Creating, integrating, retrieving, scanning and downloading related materials as required throughout the application process. Process information/documents from various workflows and mailboxes into student records. Assist with the completion of first-year and transfer applications, including the recalculation of the applicant's GPA.
- 10% Assisting with other duties as assigned.
Detailed responsibilities:
- Perform general data entry, data control, document management, and clerical functions in accordance with the Office of Undergraduate Admissions processes and procedures.
- Utilize and navigate comfortably across multiple technologies such as Slate, PeopleSoft, and Perceptive Content to manage the processing of first-year and transfer undergraduate applications.
- Identify, interpret, and code admissions documents in order to appropriately match these documents to the correct student record and application checklist item(s); allow the movement of applications through the necessary workflows.
- Make decisions related to the appropriate routing of materials through undergraduate admissions workflows in Slate.
- Assist with the completion of first-year and transfer applications, including the recalculation of the applicant's GPA.
- Provide additional processing support to other areas of the office on an as-needed basis such as receiving, sorting, and scanning incoming mail.
Required Qualifications*
- Associates degree or equivalent combination of education and experience.
- Advanced keyboarding skills; high level of accuracy and attention to detail.
- Demonstrated ability to work well among diverse coworkers in a fast-paced environment.
- The ability to manage and organize complex information; ability to use analysis and critical thinking skills to solve problems.
- Good oral and written communication skills.
- Demonstrated ability to work with confidential information and technology.
Desired Qualifications*
- Minimum of two years of experience in a production-oriented office is preferred.
- Experience working with customer relations management (CRM) tools, such as Slate. Experience working within student database systems, such as PeopleSoft.
- Knowledge of University of Michigan policies and procedures.
- Prior experience handling the routing of materials/data through complex workflows.
Modes of Work
The Office of Enrolment Management requires a hybrid work arrangement of minimally three days on-site and two remote days. Thursdays are required as an on-site work day for all members of the OEM team.
