We are seeking a Business Operations Associate to assist in the direction of the operational, personnel, and fiscal activities for the Technology Management department. This role is crucial for ensuring smooth procurement processes, effective administrative support, and efficient project management. The Business Ops Associate II will act as a key liaison between internal and external stakeholders, contributing to the overall success of the department.
A successful applicant for the Business Ops Associate II position should be detail-oriented and organized, with strong communication and problem-solving skills. Adaptability to handle various tasks and situational visits to active job sites is important, as is technical proficiency with Microsoft Teams and other project management tools. Strong interpersonal skills are essential for working well with different teams and building relationships with vendors, leadership, and team members. These qualities will ensure effective support for the Technology Management department and contribute to its success.
Key Responsibilities:
* Procurement Processes: Submit and track online sourced equipment and materials, track purchase orders (POs) and order status of vendor-based procurement and submit and track campus departmental work orders.
* Administrative Support for IT: Act as building liaison, upkeep internal lists and documents, manage all personnel data and requests in the office (name plates, orders, external organizational membership requests, etc.), coordinate orders for Technology Management department, office work orders, and coordinate delivery pick-up and drop-off.
* Analytical Assignments: Perform routine analytical assignments using existing procedures, such as tracking department expenditures.
* Project Management: Help Technology Management department set and adhere to project calendars, assist with scheduling that works with end clients, track work progress and changes, and drive the use of Teams to organize department communication and project updates.
* Stakeholder Liaison: Be the liaison with external and internal customers/stakeholders within the procurement process. Coordinate meetings with vendors, leadership, and team members on status reports, workflow on projects/procurement, and open Team Dynamix tickets.
* Supervision: Supervise part-time employees and student workers, handle hiring, scheduling, and time approval for them.
* Reporting: Assist with general reporting as needed, including bi-annual accomplishment reports, average trouble ticket closure rate, updating clients with status of internal projects, and bi-weekly outstanding PO listing to CTS staff from Amazon, AVI-SPL, WW Grainger, WWT, etc.
* Perform other duties as assigned.
* A Bachelor's degree or an equivalent combination of education and experience.
* At least three (3) years of experience from which comparable knowledge and skills can be acquired.
* Experience in supervising part-time and/or student employees
* Technical proficiency with Microsoft suite (Team, Excel, etc.)
* Experience keeping departmental budgets
* Experience working in higher education
* Project Management experience is beneficial
Starting at $25.00 hour, commensurate with experience, education, and internal equity.

* The role will be officed next to an active workshop (exposed to excessive noise, marked changes in temperature and/or humidity, around moving machinery, exposed to dust).
