Job Description


The Department of Surgery is seeking a highly motivated individual to serve as the Education Manager for the Department of Surgery Residencies and Fellowships. This position provides supervisory oversight of the General Surgery, Plastic Surgery and Urology Residency Coordinators, the Bariatric Surgery and Surgical Critical Care Fellowship Coordinators and the Department of Surgery Medical Student Clerkship Coordinator. In addition, this individual will serve as the Vascular Surgery Fellowship Coordinator. This role assists the Program Directors and Office of Graduate Medical Education with the oversite of curriculum development, resident/fellow wellness and research activities.

Responsibilities include but are not limited to:

  • Provides administrative oversight for all programs and meets the secretarial needs of the programs as required. This includes but is not limited to the following: handling inquiries, sorting correspondence, setting up folders, maintaining residency and fellowship program files in accordance with records retention schedules, assisting in requests for verification of residency training.
  • Oversees program onboarding, offboarding and recruitment activities, in addition to curriculum development for all fellowship and residency programs in collaboration with Program and Fellowship Coordinators and Directors.
  • Implements all required modules of the New Innovations management software, to include the management and reporting of data as well as user training for program faculty and fellows. Is also responsible for collecting demographic information and updating and maintaining complete demographic information in New Innovations.
  • Coordinates resident/fellow wellness and research activities.
  • Oversees the Vascular Surgery Fellowship program daily activities; collaborates in the development and implementation of operational policies, procedures, and standards. Establishes and ensures residency program goals and objectives are accomplished.
  • Collaborates with the Vascular Surgery Fellowship Program Director in the development of the strategic planning of the fellowship program. Makes recommendations for program improvement.
  • Oversees the development and planning of the internal review process, recruitment, orientation, and graduation activities. Participates in the development of the fellowship program academic and clinical requirements to ensure accreditation standards are maintained.
  • Oversees all aspects of the vascular surgery fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments, and ensuring applicant credentials are following current guidelines.
  • Prepares fellow schedules, which includes didactic lecture series, and calendar of events. Corresponds with lecturers and coordinates lecture dates, topics, and audiovisual needs.
  • Ensures compliance with departmental policies and procedures and ensures compliance with all residency program requirements. This includes but is not limited to submitting duty hour reports to the Compliance Office, collecting, and tracking evaluations of the fellows, faculty, and program, and ensuring compliance regarding any house staff moonlighting or other professional activities outside the scope of the program.
  • Maintains and monitors records of fellow attendance for all required educational activities, including conferences and other didactic experiences. Maintains the fellowship curriculum, including competency-based goals and objectives for each assignment and each level of training.
  • Ensures current and complete data resident procedural experience, including those recorded in ACGME Case Logs and the New Innovations Procedure Logger module.
  • Prepares for Internal Reviews of the program with the GME Office.
  • Input of faculty and curriculum information into database, which works in conjunction with the evaluation system and the Mission-Based Management (MBM) system.
  • Processing of VA timesheets
  • Performs other related duties.

Shift


Work Hours: Monday – Friday; 8:00am-5:00pm

Minimum Qualifications


A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range


Hiring Range: $51,875-$94,141
Grade: GGS-010
