Position Summary
The Director will supervise and manage activity within the W. H. & Dorothy Thompson Alumni Center and to provide meeting planning & support services to university, private, and corporate rental clientele. This position will maintain and oversee all daily financial operations in relation to the Thompson Alumni Center as well as generate new business through effective marketing. The Director will also manage building maintenance and coordinate with contractors and other vendors to facilitate preventive maintenance, ongoing repairs and purchases.

Supervise Thompson Center Financial Affairs
Duties:
Responsible for budgeting; monthly budget tracking and end of year budget accountability. Responsible for monthly reconciliation reporting to Director of Auxiliary Services. Responsible for all financial statements and monthly reconciliation reporting for the Thompson Alumni Center. Responsible for intramural billing reconciliation, Purchase Card payment and all financial activity reported in the SAP accounting system in relation to this business unit. Responsible for all daily financial operations including accounts payable, accounts receivable, bill payment and bank deposits. Responsible for all statements for auditors. Sets pricing structure for all Thompson Alumni Center events.

Duties:
Develop and implement marketing plan. Develop cooperative relationships with event planners, Convention and Visitors Bureau and members of the local hospitality/event industry. Create necessary print and electronic marketing materials for distribution such as direct mail, brochures, informational packets and menus. Conduct facility tours. Maintain awareness of competing venues’ selling points, prices, and catering requirements. Make sales calls to prospective clients. Achieve annual business development goals. Develop pricing plan for space and rental services. Responsible for advertising decisions and development of marketing strategies. Responsible for website development, social media material and web based marketing platforms.

Duties:
Consult with TAC Operations Coordinator, current and prospective clients to determine event dates and times, space requirements, audio/visual equipment needs and provide limited food service information. Oversees preparation of contract form, informational packet, menu, receipt, etcetera. Work with contracted caterer and TAC Operations Coordinator daily to confirm room set-up and food arrangements. Work with TAC facility staff and UNO custodial crew daily to ensure proper room set-ups. Assist Alumni Association in planning and implementing association functions. Prepare weekly schedule of events and distribute to office staff, catering manager, campus security, custodial supervisor and lawn service contractor. Prepare work schedule for event managers. On call during day and after hours events. Wear cell phone for immediate access by security, catering, and Thompson Alumni Center staff. Additional required work may include early morning, evening and weekend hours in addition to a regular Monday through Friday work week from 8 am to 5 pm.

Supervises the preparation of invoices for outside clients and income/expense transfer forms for university clients. Supervises the maintenance of records on delinquent accounts. Supervises the collection and refund of damage deposit monies.

Duties:
Ultimately responsible for the performance of catering service. Provide guidance and suggestions in catering matters. Ultimately responsible for the performance of contracted security personnel. Ultimately responsible for the performance of the UNO Custodial, Grounds and Facilities crews. Oversee quality of clearing, setups, snow removal, etc. Oversee preventative maintenance regarding furnace filter replacement, window washing, sprinkler system maintenance, etcetera. Daily inspect facility for maintenance needs and cleanliness. Request bids for purchases and services. Work with outside vendors such as plumbers, electricians, lawn services, equipment suppliers and contractors for the daily maintenance and up keep of a 2.3 million dollar facility. Order supplies such as paper towels, light bulbs, kitchen equipment, etc. Inspect all invoices including catering and security for accuracy and forward to Thompson Alumni Center Coordinator. Develop contract forms and other forms for use in the reservation and evaluation process. Review contracts with current vendors, evaluate performance, and make recommendations. Prepare monthly reports showing utilization, income, and sales forecasts. Oversee electronic security system. Work with campus security. Provide system tests. Responsible for insuring the security system is in good operation. Maintain positive working relationships with campus partners, such as parking and facilities.

Recommend and make purchases of audio/visual equipment for use as rental items for center clientele. Clean and maintain the A/V inventory. Set up and recover A/V equipment before and after all events. Order A/V supplies such as bulbs, pens, flip chart paper, etc. Troubleshoot A/V problems. Create and maintain A/V instruction manual for backup staff. Train staff on A/V as needed.
