Position Summary
Provide courteous and professional secretarial and administrative support to the School of Criminology and Criminal Justice. This position is located on the University of Nebraska Lincoln campus.
Job Duties
Responsibility Area:
Oversee Day to Day Operations
Duties:
Oversee and manage day-to-day operations and functioning of the front office including (but not limited to) the following:
- Greet and provide professional and courteous assistant to visitors and students who call or come into the CPACS Lincoln office;
- Support staff and faculty in ordering office supplies, submitting reimbursements, or other requests using university systems.
- Coordinate resolving hi-tech equipment problems in CPACS Lincoln classrooms;
- Train work study/student Lincoln campus workers students;
- Serve as point of communication with Lincoln university offices and administrators and connect to SCCJ Director or CPACS Dean as appropriate.
- Maintain and process frequently used school and university forms (i.e. college major change forms, incomplete/grade change forms;
- Mail collection and distribution for CPACS faculty and staff on Lincoln campus;
- Coordination with Omaha campus Office manager in functions such as overseeing printers/copiers functioning/maintenance and main office computer needs;
- Stock CPACS Lincoln office area with brochures, information sheets, and other handouts;
- Set up accommodations for faculty and instructors when teaching on the Lincoln campus (i.e. printer/copier access, office space, main office, classroom keys, parking and mailboxes);
- Coordinate telecommunications needs for the School on the Lincoln campus;
- Assist with all room reservation needs on Lincoln campus.

Duties:
Provide secretarial and administrative support to the SCCJ Director, Assistant Director, Undergraduate Program coordinator for the Lincoln campus and as needed for faculty and staff on the Lincoln campus.
- Prepare routine correspondence and mass mailings for SCCJ;
- Make arrangements for campus visits, prospective faculty and staff;
- Support Office Manager (Omaha campus) in processing PAFs, recurring payments and new hire paperwork.
- Help with on-boarding PT faculty on the Lincoln campus.

Duties:
Provide staff support related to SCCJ Assistant Director, undergraduate program coordinator and academic advising by:
- Maintaining student files and provide needed information for advising appointments using MavLink, Degree Audit and WebNow;
- Scheduling appointments using the Outlook 365 calendar and MavLink/PeopleSoft;
- Answering basic questions and providing information about a variety of topics (e.g., degree requirements, registering for classes, graduate deadlines, upper division eligibility, new student advising; and senior assessment);
- Compiling Dean’s List using the WebFocus database each semester;
- Assisting the Academic Advisors with preparing materials for summer New Student Orientation (NSO).
