Position Summary
As an employee of the College of Arts & Sciences, the position is the front face of the Chemistry and Physics Departments as well as the Math / Science Learning Center, and welcomes students, faculty, staff and visitors to the departments in person, by phone and through email. The position helps faculty, students, staff and visitors find answers to questions they have. The position assists department members with student- / staff-related HR matters, business-related travel and non-travel reimbursements. The position will frequently assist department chairs with department-related tasks. Position also supports the academic advisors and serves as a liaison with UNO Facilities or service contracts for repairs and maintenance of equipment and Durham Science Center. May perform duties of a sensitive and confidential nature. Requires use of independent judgment and knowledge of the departments, college, and university policies. Performs a variety of duties on own responsibility under conditions where there is little opportunity for direct supervision. Will also assist faculty, staff, and the public (community, outside reviewers, parents, visitors, etc.). The position does not support revenue generating outreach programs. There are no advising duties. The position may provide clerical assistance for course scheduling but does not develop the course schedule or manage enrollment as part of the duties.

- Provide a welcoming, inclusive environment for individuals contacting the Chemistry, and Physics Departments and the Math Science Learning Center in person, by phone, by email or by another form of communication.
- Answer questions and direct individuals who need assistance. Follow up in a timely manner if answers or help is not immediate.
- Open, date, sort, and screen incoming mail.
- Maintain any confidential records through retrieving, retaining, storing, compiling, coding, updating, distributing, and destroying files as appropriate.
- Keep paper and electronic files in an orderly manner and prepare filing system directions for other users.
- Maintain current list of key holders. Provide and collect keys (or request keycard access for others as appropriate.
- Inventory office supplies on a regular basis. Order and purchase office supplies for departments.
- Ensure office equipment is in working order.
- Serve as liaison with Facilities and service contract providers to ensure timely repairs and maintenance to laboratory equipment and building.
- Submit work orders and contact service providers as requested.
- Provide clerical assistance to Department Chairs for course scheduling.
- Assist advisors with scheduling appointments or issuing permits.
