Position Summary

The Southwest Environmental Finance Center (Southwest EFC), within UNM’s Center for Water and the Environment, is searching for an Operations Specialist to provide programmatic support by facilitating the execution of specified projects and supporting Southwest EFC team members.

Activities will be focused largely on facilitating and coordinating the programmatic work that goes into delivering webinars, meetings, and trainings to ensure that project deliverables are tracked according to the project guidelines. This will involve tracking information across multiple projects, working with trainers to ensure that appropriate venues are booked for meetings and trainings, working with project partners to submit marketing and continuing education unit information, and documenting training deliverables in Smartsheet. At this time, the SW EFC has 6 contracts that would require these services. Being highly organized is necessary. We also have a current need for assistance with a project that manages operator certification under the EPA Tribal Drinking Water Operator Certification Program. This will include tracking active certifications and sending renewal reminders, intaking applications and reviewing them for completion, communicating with state agencies and the EPA, coordinating testing, and potentially proctoring exams. This work will require a high degree of attention to detail and strong communication skills as the position will require communication in-person, by phone, and by email. Specific tasks assigned will vary based on funding, so we are looking for someone who is flexible and adaptable!

The Southwest EFC provides solutions to environmental problems via training and technical assistance delivery on a variety of managerial and financial topics associated with drinking water, wastewater, storm water, air quality, and other environmental topics. Our clients include a variety of tribal, local, state, federal, and corporate institutions. We strive to work with the entities we serve rather than for the entities we serve. We feel this is a very important distinction and that our clients need to be an integral part of our projects so that they can improve their internal capacity for long-term sustainability and resilience.

The Southwest EFC team is composed of fifteen professionals with a diverse background of training, including the sciences, engineering, law, accounting, software development, writing and editing, public administration, landscape architecture, GIS, and digital arts. Duties and Responsibilities

  1. Serves as a point of contact between staff, other UNM departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters.
  2. Coordinates and facilitates activities of technical staff, consultants, faculty, and/or volunteers engaged in implementation and administration of program objectives.
  3. Provides specialized programmatic support in the development, implementation, and marketing of projects.
  4. Provides logistical support for webinars, meetings, and trainings with minimal supervision from technical staff.
  5. Researches event venues and maintains a network of venue contacts to ensure that reservations for training venues are completed in a timely and cost-effective manner, maintains event registration, replies to inquiries, coordinates logistics, prepares post event reports or summaries.
  6. Assists Program Planning Officer with program/project revenues and expenses.
  7. Performs clerical and administrative support tasks, including creation, typing, and editing of program correspondence (including certificates of attendance), reports, PowerPoints, project handouts, website updates, supply inventories and other support tasks.
  8. Develops and refines operational procedures for tracking project objectives and deliverables.
  9. May assist with grant and/or proposal writing as appropriate to the objectives and funding nature of the program.
  10. May supervise student employees, volunteers and/or interns; may lead lower-graded staff.
  11. Performs miscellaneous job-related duties asassigned.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Knowledge of UNM procedures, policies and departments.
  • Ability to manage tasks, projects, and meet deadlines with minimal supervision.
  • Ability to work both independently and as part of a small team.
  • Strong ability to multi-task and manage competing priorities.
  • Strong ability in event planning and records maintenance.
  • Proven expert ability to communicate professionally and effectively, both orally and in writing.
  • Ability to gather data, compile information, create, and edit written reports.
  • High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with Zoom, Smartsheet, MailChimp, and Microsoft Teams.
  • Experience in higher education, public administration, business administration and/or environmental sciences a plus.
