This position is responsible for providing oversight and coordination of all aspects of faculty affairs, ensuring data accuracy across multiple systems. This role encompasses the management of multiple faculty processes such as recruitment, appointments, evaluations, promotion/tenure, and terminations. Responsibilities include overseeing faculty credentialing, coordinating evaluation procedures, assisting with promotion and tenure preparations, and maintaining comprehensive records. Additional duties include maintaining responsibility for financial and administrative oversight for the division office, including budget management and contract execution, as well as managing all software systems.
EXAMPLE OF DUTIES
ESSENTIAL JOB DUTIES: Serve as the primary liaison with colleges, departments, offices, institutional research, and other units to ensure faculty data is accurate in reporting systems; Provide ongoing guidance to college and departmental administrative staff for faculty processing, including recruitment, appointment, evaluation, and termination; Coordinate the appointment and progression of full-time and adjunct faculty as well as summer appointments; Prepare and distribute appointment, reappointment, and non-renewal letters, tenure and promotion letters, and salary calculations per established faculty ranges; Track tenure and promotion progression through software and spreadsheets; Maintain faculty databases and listings for various constituencies; Coordinate the resignation/retirement processes of faculty, including emeriti status eligibility determinations; Manage the faculty promotion process, reappointment of department chairs, appointment of graduate faculty, faculty development leave process, and appointment of faculty professorships; Track and route the electronic personnel action form process for faculty; Verify academic credentials meet established accreditation standards; Advise on obtaining education credential evaluations for faculty who receive education/training outside of the US; Provide oversight and direction to the faculty credentialing process from beginning to end; Assist faculty with technical aspects of preparing promotion/tenure portfolios; Serve as a liaison between HR and colleges to verify various faculty data required; Provide support in the faculty search process as needed;Provide payroll update information to HR and business offices; Assist in the coordination and management of the faculty evaluation processes, including annual and department chair evaluations and promotion/tenure review; Provide faculty development in the use of the faculty activity reporting system and completion of annual evaluations; Coordinate, document, and provide training for support staff in the execution of evaluation processes; Act as budget manager for all assigned budgetary accounts within the division; Manage and oversee academic budgets, spending controls, and associated activities; Oversee the execution of MOUs and contracts with vendors and contractors associated with office operations; Oversee and manage all software systems in the office; Use software applications such as Banner and Argos to enter and manipulate data for the office; Coordinate daily with HR to ensure continuity of established processes and procedures as well as continuous improvement of same; Track and maintain faculty data for promotion and tenure and assist in data retrieval for annual publications; Oversee and coordinate special projects, as requested; Provide data as necessary for managing faculty affairs and analyzing the effectiveness of programs and initiatives; Oversee the recruitment, hire, training, schedules, work assignments, and evaluation of student employees; Supervise work-study students, approve timesheets, and evaluate performance; Perform all other duties as assigned.ADDITIONAL DUTIES: To be determined.
