Administrative Assistant
Salary/Position Classification

Purpose of Position
To provide administrative and financial support to the Department of Emergency Medicine, general and education services support to the Southwest Campus, and to provide administrative support for the Southwest Campus Associate Dean.
Duties & Responsibilities
Provide administrative and financial support to the Department of Emergency Medicine.
- Serve as contact resource person for the department
- Provide assistance in the absence of the Department Chair of Emergency Medicine
- Organize meetings, conference calls, or special events as requested by the Chair
- Attend and represent the department at committee meetings as requested by the Chair
- Facilitate communication between the Emergency Medicine Chair and the Southwest Campus Dean, other SMHS administrative leaders, students, and faculty
- Assist the Chair with faculty appointments and promotions
- Query student feedback for annual evaluation of the clinical teaching faculty
- Assist in the establishment of new courses and/or electives for Emergency Medicine
- Provide support to the Chair in managing, reviewing, and updating the department's Phase 3 electives on an annual basis for the Office of Medical Education including preparing and submitting senior elective paperwork for additions or deletions
- Work with the department Chair in preparing Al course paperwork and approvals each year
- Assist in reviewing evaluations, completed by preceptors and students, for recommendations to improve the clerkship. Assess feedback and adjust scheduling, if feasible, to accommodate student and faculty recommendations
- Responsible for Phase 3 grade completion in LEO for the Department of Emergency Medicine
- Work with the Chair in advising students in the residency application process
- Assist with letters of recommendation and function as one of the designated department individuals to upload letters to the AAMC LOR portal for Emergency Medicine
- Provide financial support to the Chair of Emergency Medicine; plan, develop, and monitor budgets
- Assist with travel arrangements and expense reports for the Department of Emergency Medicine.
- Responsible for annual contracts for the Emergency Medicine Department Chair, and respective faculty
- Website design and upkeep for the Department of Emergency Medicine
- Assist with IT inventory and equipment updates as needed for the department of Emergency Medicine
- Learn and utilize the Electronic Records Management System (ERMS)
Provide general and education services support to the Southwest Campus.
- Responsible for ensuring proper implementation of UND policies and procedures
- Assist with coordination of test schedules and arrangements as needed
- Proctor for the National Board of Medical Examiners Subject Exams (NBME) as needed
- Assist in coordinating Phase 3 (4th Year Electives) to include utilizing OASIS
- Review and approve Phase 3 elective requests to avoid preceptor/student overload.
- Report on health, disciplinary, learning, or other problems to the Associate Dean, and assist in answering student inquiries and providing advice and guidance
- Maintain department Pcard
- Responsible for annual contracts for the Southwest Campus Associate Dean, Career Advisor, and respective faculty; initiate and manage payroll
- Assist in management of card access to the building and Southwest Campus Website design and upkeep assist the Southwest Campus as needed Assist SW campus with ERMS as needed
Provide administrative support for the Southwest Campus Associate Dean.
- Act as liaison between the students and the Associate Dean
- Manage Associate Dean calendar
- Assist with planning and coordinating special events, meetings or projects
Required Competencies
- Knowledge of UND policies and procedures including travel, purchasing and finance
- Must be proficient in Microsoft Office (Word, PowerPoint, Excel, and Outlook)
- Willing to work flexible hours to accommodate the daily schedule of the office
Minimum Requirements
- Associate's degree and two years of directly related experience, or four years of directly related experience
- Successful completion of a Criminal History Background Check

Preferred Qualifications
- Experience in administrative assistance, or student education, advising, or counseling
- Work experience in a medical setting
- Prior certification as EMT, paramedic, or emergency medicine nurse
