Associate University Registrar
Salary/Position Classification
- $75,000 Annual, Dependent on Experience, Exempt
- This position will work onsite the Grand Forks, ND campus.
Purpose of Position
The Associate University Registrar is responsible for the planning, organizing, and evaluating the daily operations of the Office of the Registrar. This position administers student enrollment activities and ensures functional use of the university student enrollment system. This position is responsible for the efficient and effective operation of the service area of the Office of the Registrar and works as a member of the management team to ensure excellent service and the integrity of the academic record.
Duties & Responsibilities
- Supervise three full-time and one part-time permanent staff. Supervise student assistants and temporary staff. Direct the work in the areas of: front office, service area, campus access security and transcripts. This includes registration/change of registration, FERPA directory restrictions, deferments and verifications, changes in student bio demo information, campus connection access, transcript production and delivery, National Student Clearinghouse error correction, graduation processing, and diploma issuance.
- Manage student assistant allocations, attendance, and Campus Connection HRMS payroll system.
- Direct the development and revision of desk manuals for service area staff.
- Implement and manage the new features for transcript production and delivery systems as they become available.
- Trouble-shoot for staff, students, and faculty regarding problems related to permission registration and changes of registration; FERPA directory restrictions; deferments and verifications, including managing student aid portals; name and address changes; changes in demographic information; transcript production and delivery and other problems that arise.
- Manage personnel leave for registrar office staff.
- Oversee National Student Clearinghouse error correction process.
- Manage academic records.
- Interpret and enforce academic rules and regulations, monitor academic standing, enrollment and graduation certifications, academic records, exception/waivers and reporting.
- Direct the processing of grade changes/entry in the workflow and by paper and through the Army Ignite and AI Portal.
- Process and monitor semester registration for student’s in the combined degree program.
- Process petitions for graduate credit.
- Ensure that the process of collection and early posting of grades and confirmation of degrees for graduating ROTC cadets is completed.
- Manage the duplicate ID resolution process.
- Compile, verify and code academic standing at the end of each term and produce emails for students.
- Process administratively dismissed student memos from individual colleges.
- Code service indicators for suspended and dismissed students including the activity guide for students placed on academic warning.
- Correct academic record conversions from Legacy system to PeopleSoft.
- Oversee the recreation of records for readmitted, non-converted students.
- Record Student Milestones as necessary.
- Oversee the Privacy Release Process for Academic Records.
- Support the Administrative Procedures Committee and the Student Academic Standards Committee.
- Provide administrative support to the Administrative Procedures Committee by ensuring meetings are scheduled and petitions are prepared, researched and ready for review by the committee.

- Process approved Ad Pro petitions.
- Process dismissed student appeals.
- Work collaboratively with registrar office staff and staff, faculty, and administrators across campus offices to provide support and excellent service relating to records, training, and overall needs of the campus community.
- Recommend and participate in the development, implementation, and changes to university policies, processes, and procedures regarding student registration and records ensuring changes are communicated to the University community.
- Provide information about the University and Office of the Registrar procedures and policies for faculty and staff.
- Communicate importance of FERPA compliance to ensure student records remain secure.
- Conduct PeopleSoft and procedural training sessions as needed and as requested for new staff and new students.
- Troubleshoot and problem solve issues regarding records, procedures, and policies for campus offices and function as a resource for the campus.
- The Associate University Registrar will act for the University Registrar when they are out office.
- Receive the questions regarding functions, policy, etc. Investigate and answer as needed in consultation with the university registrar.
- Manage the entire office staff in the absence of the university registrar.
- Work collaboratively with the office leadership team.
- Attend meetings for University Registrar as needed.
- The Associate Registrar is a member of the registrar’s team of managers and is an integral part of a positive, efficient, and productive work environment in the Office of the Registrar.
- Actively participate in the registrar’s office leadership team in planning office goals.
- Work to implement office goals.
- Assist with personnel, hiring, training, and supervision.
- Promote a positive working environment.
- Provide support to the University Registrar with projects that could involve not only UND but institutions statewide regarding initiatives for student academic records, policies, and procedures.
- Troubleshoot office issues and system problems with the registrar’s office leadership team.
Required Competencies

Minimum Requirements
- Bachelor’s degree and 7 years of experience with student records in higher education.
- Experience supervising and evaluating full-time staff.
- Experience working with PeopleSoft or a related student information system.
- Experience working professionally with Microsoft Word, Excel, and Outlook.
- Successful completion of a Criminal History Background Check

Preferred Qualifications
- Master’s degree in Higher Education or a related field.
- Experience working in a Registrar’s Office.
- Experience working with FERPA.
- Experience developing and identifying policies and procedures.
- Experience with continuous improvement techniques.
