Position Overview
The Assistant Director of Advancement Events is responsible for cultivation of alumni, donors and friend through intentional experiences that support the mission of the division of advancement. This position will work closely with Annual giving, Donor Relations, Major Gifts, Planned Giving, Alumni Engagement teams while partnering with athletics, the president’s office and other that support the mission of the division of advancement.
Minimum Qualifications
Bachelor's Degree in related field and three years' of professional related experience; or any equivalent combination of education, training and experience.
Knowledge, Skills and Abilities
- Knowledge of University operations, policies and procedures, as well as state regulatory guidelines and mandates.
- Some knowledge and skill related to computer software, applications, and programming, including Adobe Creative Suite, Qualtrics,
- Microsoft Office, EventsPro, or similar software etc.
- Knowledge of fiscal management and ability to develop and manage event-related budgets.
- Excellent written and oral communications skills.
- Ability to establish and maintain effective working relationships.
- Knowledge of safety and security precautions appropriate to work performed.
- Ability to work on call during events including nights and weekends.
- Ability to work effectively in a high stress people-oriented environment.

- Experience using Microsoft Planner Boards and Teams.
- Familiarity with Raisers Edge or Blackbaud NXT software is a plus.
- Certified Meeting Planner (CMP) designation is a plus.
- Successful candidate must be able to perform light lifting of chairs and tables if event setups need minor changes.
- Must be able to lift up to 15-20 pounds.

Job Duties:
Event Planning and Execution:
- Assists the Director of Advancement Events in developing, planning, coordinating, implementing, and reporting on University Advancement events. Supports other fundraising and program events throughout the year.
- Actively participate in event planning meetings.
- Organize event staff and volunteers.
- Create and maintain event checklists, event floor diagrams, schedules, and budgets.
- Coordinate and strategize guest lists for events.
Event Logistics and Vendor Management:
- Serve as the primary point of contact with event vendors such as parking, catering, audio-visual, setup, photographers, venues, and designers.
- Manage inventory of equipment and supplies to produce events.
- Create event briefings to be distributed to the Director of Advancement Events prior to events. Daily updates as needed up to the day of the event.
Data Management and Reporting:
- Works with divisional CRM to create and record event records and analytics.
- Keeps accurate purchasing records and is responsible for monthly reports.
Stakeholder Engagement and Representation:
- Represent the university as a professional staff member at all times in attitude, dress, and interaction.
- Participate in and support any special project fundraising for university priorities as assigned by Director of Advancement Events.
Work Schedule:
Monday – Friday, 8:00am – 5:00pm; additional time outside of office hours as event schedule requires; hybrid opportunity available.
