Position Overview
The Event Coordinator is a full-time position, responsible to provide support for Ticketing, Conference & Rental Services, and Campus Events to help maintain details for events, to create an efficient and welcoming experience for guests, and to support the implementation of successful events at Northwestern.
What will I do in this position?
Essential job responsibilities include but are not limited to:
- Perform ticketing duties on-site during shifts as assigned. Oversee ticketing on select event nights.
- Communicate with Ticket Office customers via phone, email, and in-person.
- Manage a variety of campus events that are ticketed: putting them on sale, working with the event host, and other duties.
- Respond to smaller facility rental and campus-sponsored event requests. Schedule event facility rentals using EMS (Event Management Software). Maintain accurate files for all facility rentals. Prepare and distribute information, and client contracts. Answer questions from and meet with event clients to secure details/specifics. Prepare information for client invoices.
- Work with Senior Manager of Conference & Rental Services to assist in coordinating smaller conferences.
- Assist with training and supervising summer lodging student employees.
- Assist with needs for summer lodging including, but not limited to, working with room assignments, preparation of rooms, check-ins/outs, and linen needs.
- Provide bookkeeping support for Ticket Office and Conference and Rental Services: reconciling accounts, running reports for daily deposits for the ticket office, and assisting with billing.
- Maintain current understanding and awareness of event trends.

What will it take to succeed in this position?
Minimum Education and Experience:
- High school diploma or GED Equivalent, required
- Previous related experience a minimum of 1 year, required
- Minimum one (1) year related events experience, required
- Continually nurture a personal relationship with Jesus Christ; serve as a consistent witness for Jesus Christ; maintain a kind, Christ-like attitude in dealing with and ministering to people within and outside of Northwestern; and faithfully uphold and embrace Northwestern’s mission, doctrinal statement, and Declaration of Christian Community.
Knowledge, Skills and Abilities:
- Ability to interact with a variety of individuals in a professional, kind and tactful manner
- Ability to problem-solve quickly and work well in a fast-paced setting
- Detail oriented with ability to organize, prioritize, and complete tasks accurately within deadlines
- Ability to work in both a team environment and independently, without close supervision
- Basic to intermediate computer proficiency
- Excellent written and verbal communication skills
- Ability to work occasional evenings or weekends for events
- Ability to pass a background check upon hire and periodically throughout the course of employment
