The Notre Dame International Security Center ( NDISC ) is seeking an organized and detail-oriented Program Manager to support the center’s operations, including the director, associate directors, postdoctoral fellows, faculty, and the NDISC Undergraduate Certificate Program. This role involves administrative support, event management, financial oversight, and marketing coordination to ensure the successful execution of the center’s activities. The ideal candidate will be a self-starter capable of managing multiple responsibilities and working independently.
Essential Duties And Responsibilities
- Financial Management: Develop, maintain, and oversee budgeting, accounting, and financial reporting processes for NDISC activities. Proficiently utilize Excel and Google suite to create and manage monthly and annual financial reports. Develop and maintain a custom NDISC financial database.
- Administrative Support: Provide comprehensive administrative support to the director, associate directors, postdoctoral fellows, graduate students, and affiliates. Assist with activities related to center operations and funding. Follow established procedures and protocols while identifying and resolving clearly defined problems.
- Database Management: Create and maintain a custom database for the Undergraduate Certificate Program, ensuring its structure and functionality meet the center’s needs.
- Event Coordination: Oversee and supervise the scheduling, planning, and execution of center events, including the seminar series, podcast, named talks, and annual conferences. Manage event logistics and ensure effective communication regarding progress and challenges.
- Student Employee Management: Hire and manage student employees, ensuring their productivity and alignment with the center’s goals.
- Marketing and Communications: Design and execute a comprehensive marketing and communications plan for the center. Coordinate creative works, manage schedules, and oversee the ongoing execution of marketing initiatives. Proficiency in Canva, Adobe Photoshop and InDesign is recommended.
Education & Experience:
- Bachelor’s degree with 5-6 years of related experience
- Excellent organizational skills and the ability to work independently while managing multiple projects.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Excel, Adobe Photoshop, Adobe InDesign and Canva.
- Basic accounting and budgeting concepts and reporting.
- Experience in event planning, marketing and communications, and website maintenance. Basic technological troubleshooting skills.
