Definition of Classification:
The Assistant Director of Student Financial Services is responsible for processing and compliance as it relates to an assigned cohort of students and programs. This position provides accurate and excellent customer service, counseling and guidance to students, parents, faculty and the public regarding billing and financial aid eligibility. This position is a key member of the SFS leadership team.
This position reports to the Senior Associate Director and may require flexibility to work evening and weekend hours as well as the ability to travel, as needed.
Duties and Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
- Provides support and leadership for the Student Financial Services Office, with emphasis on compliance with federal financial aid regulations and customer service.
- Packages cohort of returning College of Arts and Sciences undergraduate and graduate students, School of Business undergraduate students, and graduate theology students.
- Assists families and students by providing comprehensive financial aid and payment options, including terms and conditions of various loan programs and debt management.
- Conducts financial aid presentations to students and families.
- Ensures timely processing of all R2T4 calculations and returns of TIV funds; works with external auditors as requested.
- Processes appeals using professional judgment.
- Performs SAP process in compliance for all students.
- Oversees the verification of financial aid files, ensuring compliance with policies and regulations.
- Oversees the certification of Direct Parent PLUS Loans and alternative loans.
- Maintains relationships with lenders and supervises the ELM certification process.
- Supervises Student Financial Services Coordinators and general supervision of student workers.
- Reviews and resolves student eligibility discrepancies for Federal Pell, Cal Grant, and Direct Loan program.
- Makes processing decisions that support the policies and goals of the University.
- Performs other related duties and special projects as assigned.
Qualifications Guidelines

Experience/Training/Education:
Required
- Bachelor’s Degree.
- One year of experience in student aid, higher education administration or in a related field that requires the interpretation and application of public regulations and policies.
- A valid California Class C CA drivers’ license with a good driving record is required. Note: Out-of-state licenses are valid until appointment. A valid California Class “C” driver’s license must be obtained within ten (10) days of appointment (in accordance with CA Vehicle Code 12505c).
Knowledge and Skills:
- Working knowledge of financial aid.
- Experience demonstrating a high level of independent thinking and judgment.
- Ability to understand and interpret federal/state/institutional regulations and laws.
- Communicate effectively and follow instructions, both verbally and in writing.
- Aptitude to learn new and evolving technology and recommend ways to improve position’s efficiency.
- Excellent technical, analytical, and problem-solving skills.
- Excellent organizational skills.
- Ability to operate standard office equipment.
- Proficiency in Microsoft Office software including Excel, Word, PowerPoint, and Outlook.
- Ability to recommend appropriate courses of action within established guidelines.
- Ability to foster strong, positive relationships and align both internal and external resources to achieve university objectives.
- Ability to exercise discretion and work with confidentiality.
- Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.
BACKGROUND CHECK: Satisfactory completion of a background check (including a criminal records check) is required for employment. PHYSICAL AND PSYCHOLOGICAL EXAMS: For certain positions typically in Public Safety, Facilities, Athletics and Information Technology Services departments, employment is contingent upon a candidate passing a pre-employment physical exam with the ability to lift in excess of 50 lbs. Public Safety Officers, in addition to a pre-employment physical exam, will also be required to pass a psychological evaluation.
