Definition of Classification:
The Clinical Administrative Manager is a strategic leadership position responsible for managing the operational, administrative, and compliance functions of the clinic. This role acts as a key liaison among students, faculty, clinical supervisors, graduate clinicians, and community partners to ensure the effective coordination of clinical and educational programs.
Reporting to the Director of Clinical Education, the Clinical Administrative Manager is responsible for implementing policies, optimizing administrative processes, and developing innovative strategies to enhance clinic operations. The position requires expertise in clinic administration, healthcare education, and program management, along with strong leadership and collaboration skills to support student success, client services, and faculty needs while ensuring adherence to clinical policies and best practices.
Duties and Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
- Serve as the primary point of contact for client inquiries regarding clinical services, ensuring prompt and professional communication.
- Oversee the management of client applications, ensuring accuracy, confidentiality, and compliance with clinic policies.
- Act as a liaison between clients and clinical staff, addressing concerns and facilitating seamless service delivery.
- Schedule and coordinate client appointments, optimizing scheduling efficiency and clinician availability.
- Maintain and update the client information system on SharePoint, ensuring secure and organized storage of applications, reports, and release of information documents.
- Administer and analyze the Client Evaluation of Clinical Services survey to assess satisfaction and improve service quality.
- Lead website outreach initiatives for the Truesdail Clinic to enhance community engagement and accessibility of services.
- Oversee the clinic’s master schedule, working closely with clinical supervisors to ensure efficient appointment scheduling and clinician availability.
- Train, supervise, and mentor Graduate Student Clinic Assistants to maintain high-quality administrative support within the clinic.
- Manage procurement, inventory, and distribution of clinical materials, including assessments, PPE, and other essential supplies.
- Maintain and oversee the clinic’s Audio-Visual system, ensuring functionality for training and clinical purposes.
- Develop and manage the clinic’s budget, including financial planning, cost monitoring, and expenditure approvals.
- Coordinate the annual calibration of audiology equipment to ensure compliance with industry standards and accreditation requirements.
- Assist undergraduate students with clinical observation hours, facilitating structured learning experiences.
- Maintain and update recurring calendar events for clinical training, faculty meetings, and administrative deadlines.
- Manage the onboarding process for graduate clinicians, ensuring compliance with all practicum requirements, including Certificate of Clearance, TB tests, liability insurance, observation hours, vaccination records, releases, nametags, and program attire.
- Oversee online tracking of clinical practicum requirements using Calipso, ensuring data accuracy and timely updates.
- Maintain and update the Clinic Handbook, ensuring all policies and procedures reflect current best practices.
- Coordinate and execute new student orientation sessions, providing essential training and resources to incoming graduate clinicians.
- Manage Simu case subscriptions, ensuring students have access to necessary training resources.
- Faculty and Clinical Supervisors Support
- Develop and manage supervisor checklists, ensuring that faculty and clinical supervisors meet all administrative and compliance requirements.
- Maintain and coordinate clinic calendars, aligning faculty schedules with clinic operations and student training needs.
- Oversee Calipso registration for clinical supervisors, ensuring smooth onboarding and integration into the system.
- Manage SharePoint access for faculty and supervisors, providing controlled and secure access to necessary documents and records.
- Oversee the development and execution of fieldwork contracts for health-based clinical placements.
- Collaborate with the School of Education to establish and maintain public school externship contracts.
- Work with the Director of Clinical Education to facilitate site placements and monitor student progress.
- Ensure completion of all onboarding paperwork and compliance requirements for externship placements, including background checks, immunizations, and liability documentation.
- Maintain supervisor registration and accreditation tracking in Calipso to ensure compliance with licensing and accreditation bodies.
- Secure Certificates of Insurance for externship sites to meet institutional and regulatory requirements.
- Serve as a collaborative partner with the Department Administrative Assistant to ensure seamless day-to-day operations of the clinic and academic programs.
- Report directly to the Director of Clinical Education, providing high-level administrative, clerical, and logistical support for clinical training programs.
- Analyze and implement process improvements to enhance operational efficiency, compliance, and service delivery.
- Participate in strategic planning initiatives, contributing expertise in clinic administration and healthcare education.
- Develop and execute special projects that align with the institution’s mission and objectives.
- Ensure adherence to institutional policies, state regulations, and accreditation standards related to clinical operations and student training.
- Perform other duties and special projects as assigned.
Qualification Guidelines

Experience/Training/Education:
Required
- Bachelor's degree in healthcare administration, Clinical Education, or a related field.
- Minimum of five (5) years of experience in clinical administration, healthcare education, or a related field.
- Strong leadership skills, including experience supervising staff and managing clinical or academic operations.
- Proficiency in Microsoft Office Suite, SharePoint, and Calipso.
- Exceptional organizational and problem-solving abilities with keen attention to detail.
- Strong communication and interpersonal skills, with the ability to engage effectively with students, faculty, and external partners.
- Knowledge of accreditation and regulatory requirements in clinical education and healthcare settings.
Preferred
- Master’s degree in Healthcare Administration, Clinical Education, or a related field.
- Experience in higher education or clinical training environments.
- Familiarity with Diversity, Equity, Inclusion, and Belonging (DEIB) initiatives and a strong commitment to inclusive practices.
- Background in clinical compliance, licensing processes, and student success initiatives.
- Experience with program evaluation, data analytics, and quality improvement in clinical settings.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.
