Essential Functions
Direct Gift Officer Support.
- Meets with gift officers weekly.
- Manages calendars as needed.
- Prepares reporting and other documents as needed.
- Compiles information for donor visits, mailings and meetings.
- Updates donor and alumni information in OASIS.
- Assist with routine correspondence and add that information to entity records.
- Arranges gift officer travel as needed.
- Processes expense reports in a timely manner.
- Assists with small events as needed.
- These may include dinners, meetings, or tours.
- Creates and maintains lists of invitees as needed.
- Prepares nametags, agendas, printed materials.
- Arranges space and the appropriate tech requirements, arranges catering, and reserves parking if needed.
- May need to attend some events off site and outside normal business hours.
- Must work Meliora Weekend and support that as needed.
- Maintain current training and certifications in Oasis, Workday, and other technologies available.
- Handle invoices and expense reports in a timely manner.
- Develop a thorough understanding of OASIS and successfully pull reports, update donor and alumni data, and research gifts/allocations as needed.
- Successfully communicate with all members of the team.
- Successfully manage email to stay organized.
- Assist with mailings as needed.
- Triage mail for the department as assigned.
- Assist with copier maintenance and the storage of supplies.
- Process gifts accurately and in a timely manner as needed.
- Save all gift documents according to department guidelines.
Qualifications
- Minimum 2 years post high school education required.
- 2 years practical office experience or equivalent combination of education and experience required.
- Strong skills in Microsoft Office, specifically Outlook, Word, Excel.
- Practical experience in Workday is a plus.
- Strong written and verbal communication skills preferred.
