The Office of International Studies Abroad supports all undergraduate student study abroad programs, and graduate international programs in the Kroc School of Peace Studies, the Hahn School of Nursing, the College of Arts and Sciences, the Law School, and the Knauss School of Business which are conducted in Africa, Asia, Australia, Europe, Latin America and the Middle East as well as non-academic units engaged in international experiences supporting approximately 1,500 undergraduate and graduate students going abroad annually.

The Associate Director in the Office of International Studies Abroad will help to design and manage the international enrichment activities for undergraduate and graduate students across the university, and work with the various stakeholders across campus to design and implement international experiences for all students. Additionally, the Associate Director will serve as a 24/7 emergency contact, along with the Director, when students and faculty are abroad. Their responsibilities will include, but are not limited to, being versed in the local knowledge required to maintain programs within the Office of International Studies Abroad, the management of international faculty-led study abroad programs, international consulting projects, and international research activities.

Duties and Responsibilities:

Oversight of day-to-day office operations related to international programming:

  • Assist Director in attaining goals and objectives related, but not limited to:
    • Hire and retain a professional, efficient, and productive office team
    • Continuous program assessment and discuss findings regarding program quality control issues and student/faculty feedback
    • Assess policies and procedures for accuracy and recommend updates
    • Liaise with faculty teaching in faculty-led programs and train faculty on health and safety protocols
    • Oversee wellness review process in collaboration with USD Wellness Services
  • Provide leadership for the Office of International Studies Abroad in the absence of the Director of International Studies Abroad
  • Serve as liaison to graduate international programs across campus and collaborate across units to ensure continuity of service and streamlined processes
  • Collaborate with faculty across campus regarding international research activities
  • Ensure new policies and procedures as recommended by Associate Provost/Director are in place and operational
  • Oversee online resources:
    • Maintenance of the International Studies website
    • Maintenance and development of Via TRM
  • Problem solve for faculty, Department Chairs, affiliated administration and all students with regard to the Offices of Student Financial Services, Financial Aid, Housing, Registrar, and Procurement
  • Attend to, and find solutions for, student and parental concerns/complaints
  • Advise new faculty teaching abroad and provide foundational information and advice for successful program development
  • Monitor faculty-led budgets in excess of one million dollars and stay apprised of program inclusions
  • In conjunction with faculty stakeholders, make contacts with international alumni, potential academic speakers, and academic partners to design programs that are enriching and have the appropriate international learnings for graduate students while studying abroad
  • Review complicated or questionable student applications
    • Make decisions on student eligibility to participate in USD programs abroad
    • Meet with appropriate directors, professors and administrators with regard to student eligibility and recommend further review if necessary.

Manager Oversight - Serve as direct supervisor to all International Studies Abroad Managers (5 total):

  • Collaborate with the Director to hire, mentor, supervise and evaluate Study Abroad Managers (exempt administrators).
  • Regularly meet with the managers and develop protocols with the Senior Manager to assure that everyone maintains consistent practices and procedures in all activities related, but not limited to:
    • Application materials, requirements & processing
    • Program marketing & promotion
    • Information relayed to students & faculty
    • Course transfer evaluation process
    • Orientation and pre-departure for students and faculty
    • Transcript processing
  • Keep the managers informed of policy changes/updates Stay informed of pertinent discussions with faculty and other campus constituencies.

General Program Oversight - Facilitate and oversee management of all study abroad programs related to undergraduate and graduate students:

  • Program oversight and management include:
    • Programs in over 80 cities (semester and short-term) in over 35 countries
    • Student participants exceeding 1,500 annually
    • Faculty members averaging about 90 annually
  • Maintain contact with faculty in each faculty-led program to create sound programs abroad
  • Monitor program enrollments
  • Oversee pre-departure preparation of students and faculty
  • Oversee the promotion of faculty-led programs including, but not limited to, monthly informational meetings, creation and publication of literature, maintenance of the study abroad website
  • Provide 24-hour crisis management support for faculty and students while they are abroad
  • In conjunction with the faculty member, evaluate each faculty-led program upon return and maintain current records
  • Work with the Counseling Office on issues of mental health, with Public Safety on issues of emergency communication, and with Risk Management and General Counsel on issues of liability
  • Continually receive updated program information, oversees the maintenance of accurate information in the office, and make decisions regarding the effects changes may/may not have on USD
  • Act as liaison between USD and affiliates
    • Maintain contact with affiliated program administration and on-site directors to stay abreast of student issues of those currently abroad
    • Trouble-shoot for affiliates, professors, students and office protocol
    • Oversee the application and course approval process for the individual programs
    • Serve as the point of contact for affiliated programs; represent affiliates on campus
    • Welcome visitors from affiliated programs and meet with representatives when on campus
    • Verifies affiliate compliance with USD policy

Additional Responsibilities - Additional responsibilities include, but are not limited to:

  • Represent the International Center and the as an active member of various committees and groups (on campus and off-campus)
    • Serves as an active member of the International Education Week Planning Committee, the USD Study Abroad Committee, NAFSA, Forum on Education Abroad, and any related sub-committees
  • Collaborate with offices across campus on various issues related to study abroad to include:
    • Student Affairs
    • Academic Affairs
    • Business and Administration
    • Mission and Ministry
    • University Relations
    • Wellness

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree required.
  • Minimum of three years relevant experience required.
  • Must have personal study, research, or work abroad experience.
  • Second language proficiency highly recommended.

Preferred Qualifications:

  • Master’s degree (either in progress or completed) preferred.

Posting Salary:

$6,447 - $6,792 per month; Excellent Benefits

The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
