The individual will possess reasonable understanding of accounting principles, strong technical skills in financial systems and applications, and be able to interpret and apply University policies, rules and regulations to find solutions to financial issues. This is an on-site role.

Responsibilities include:
- Administer and process a significant volume of daily invoices, post receiving, and provide support for submitting service purchase orders and procuring materials through the university e-procurement system for Facilities Operations while ensuring that internal controls are maintained and department and university policies and procedures are followed.
- Apply critical thinking to perform accounts payable duties by processing utilities, professional services, maintenance, and construction invoices, materials purchases, and purchasing card expenses in Banner, Concur, and Hilltop Shop while following contractual agreement guidelines. Review, identify, and resolve issues and discrepancies between the e-procurement system and external sources. May approve invoices.
- Create purchase orders in Banner and the e-procurement system in accordance with the procurement policy; track purchase order spending.
- Field questions on contracts statuses or vendor inquiries; may assist with training on contracts process and tracking.
- Assist with semi-monthly payroll and absence reporting for Local 39 and 1877 employee groups in accordance with Collective Bargaining Agreements.
- Perform complex reconciliations of operations capital project spending; generate reclassification journal entries.
- As an advisor to the Director of Administration and Financial Operations, recommend changes or new procedures, methods, and application of University policies and accepted accounting practices as required for the operation of the department.
- Perform data entry and accuracy of utilities usage and cost information into database for Sightlines/Gordian reporting and ad-hoc analysis
- In collaboration with team members, complete fiscal year end duties including but not limited to: contract draw-down reconciliations, purchase order reconciliations, accruals, initiating new fiscal year tracking spreadsheets.
- May hire, supervise and train student staff assistants.
- Other general office duties include, but not limited to filing, scanning, creating and updating Excel spreadsheets, sending correspondences, and general electronic file management.
- Perform other duties as assigned to meet the operational needs of Facilities Management
Preferred Qualifications:
- Post high school education preferred.
- Training or experience equivalent to five years of increasingly responsible work experience in a senior accounting assistant/bookkeeping position.
- Strong attention to detail and a high degree of flexibility
- Ability to work independently under minimal supervision, plan and prioritize responsibilities to meet competing deadlines while working under applicable time constraints.
- Proficiency in reporting and extracting data from data warehouses and systems
- Highly developed accounting, analytical and reporting skills, which includes demonstrated experience utilizing spreadsheets and databases, as well as data query tools
- Demonstrated experience using reasoning skills and sound judgment in the interpretation of University regulations and policies and identification of trends and variances
- Experience with report-writing packages or data extraction software
- Knowledge or interest in Asset Information Management automated service request systems is desired
- Knowledge with payment systems including Concur and Jaggaer Procurement system a plus.
- Superior customer service and communication skills, including the ability to communicate clearly, confidently and concisely in verbal and written formats to a wide variety of constituents. Ability to work effectively as part of a team
- Working knowledge of desktop software in a PC or MAC environment (MS Word, Excel, etc.)
- Experience with report writing packages or data extraction software is desired
