Responsibilities
Abides by and enforces all compliance requirements and policies and performs these responsibilities in an ethical manner consistent with the organization's values; adheres to hospital policies including confidentiality; assists with the orientation of new employees as assigned; requires minimal supervision to safely perform patient care/essential functions; utilizes proper body mechanics when moving equipment/supplies/records that are necessary to perform essential functions; maintains clean work environment; utilizes and accesses the Hospital Information System (Cerner), PaperVision, Vincari and Command Health; maintains an adequate inventory of supplies for the department supervises employees in the HIM department and addresses issues in attendance, attitude, and work performance with employees; assists the Manager of Operations/Director in planning, organizing and implementing educational activities including orientation and competency testing; identifies educational needs for departmental employees and assists the Manager of Operations/Director in assessing educational needs; assists with interviewing applicants and makes recommendations regarding personnel changes; completes performance evaluations for designated clerical staff; assists in revision of policies and procedures in the department; performs payroll functions and informs the Manager of Operations/Director of any discrepancies; accounts for, assembles, scans, analyzes and re-analyzes inpatient, outpatient and ER records for deficiencies; attaches and/or scans loose reports and preps records for imaging; releases PHI to third parties, with proper authorization; works with the release of information subcontractor to ensure that information is released in a timely manner; assists Manager of Operations/Director in the delinquent chart notification process; completes birth/death certificates in compliance with state law; maintains departmental reports and records and collects statistical data for administrative and regulatory purposes; communicates with attorneys, courts, law enforcement, patients and others on a daily basis to resolve problems related to release of information; assists physicians, Business Office and other medical record requestors by pulling charts, answering questions and performing follow-up regarding chart completion requirements; monitors turnaround time for record requests to ensure information is released in a timely fashion; communicates and uses appropriate customer relation skills with physicians, patients, families, healthcare team and staff in person and via telephone; responds to overhead pages; informs/relays information to incoming shifts regarding any unfinished requests/duties; communicates with hospital and clinic departments regarding issues affecting the operation of the HIM department; maintains accurate and complete records; identifies and posts all forms and reports in the correct chart order; completes the daily departmental routing slip; maintains accurate logbooks and reports; updates Cerner information as needed; removes specified forms/reports from the medical record (as appropriate) for reviewers/requestors; verifies that information sent via fax machine is done so without error by reviewing fax log; accepts and completes all duties positively and without conflict; cooperates, helps others and improves the performance of the unit; completes all mandatory unit, educational and hospital requirements; utilizes cost effective practices in performing all aspects of the job; adheres to current Infection Control and Safety Standards; participates in Performance Improvement activities as assigned; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.
Qualifications
High school diploma or equivalent and five years of clerical experience in medical records, one year of which was in a supervisory capacity. RHIT / RHIA degree preferred.
