Job Related Minimum Required Education and Experience
Typically holds a high school diploma or GED. Requires 1 or more years of job related experience.
Required Certification, Licensure/Other Credentials
A successful background check is required.
Preferred Qualifications
High school diploma and 3 years related experience or equivalency.
Knowledge/Skills/Abilities
Excellent customer relations; considerable abilities in office procedures; high level of organization; and excellent verbal and written communication skills. Proficiency with typing and word processing software. Effective and efficient with knowledge in using Microsoft Suite and ability to effectively use other software applications; and knowledge of financial accounting. Excellent written and verbal communication skills. Ability to make correct decisions using good reasoning; be able to work under stressful conditions with pressures from multiple sources; and maintain confidentiality. Ability to meet deadlines.

Processes utility invoices entry, creates and monitors purchase requisitions, serves as credit card liaison for Facilities Management personnel for card management and reconciliation, enters monthly vehicle management data for division vehicles, obtains quotes for purchases, creates blanket purchase orders requests, coordinates vendor supplier packets and material receipt, delivery, and payment authorization. Creates and processes travel authorizations, reservations, rental cars and reimbursements for FMD staff.

Provides administrative support for the Director of Facilities Management and Facilities Management Department including budget allocations, work orders assignments, distribution of reports; filling out forms and reports; process departmental mail; schedule meetings for FMD staff; maintain attendance reports; receptionist responsibilities by receiving visitors to the department, answers departmental telephone and emails. Maintains departmental files and similar; coordinates office supplies; and schedules Facilities Management Department events. Serves as building safety coordinator.
