What are the responsibilities and job description for the Business Center Specialist position at University of Texas at El Paso?
Under limited supervision and with considerable latitude for the use of initiative and independent judgment, coordinates and directly supports the business process functions of a Business Center, which provides various financial, analytical, and business process transactional services to faculty and staff within area of assigned responsibility.
Essential Functions
Provides departmental support and acts as a backup for department administrators.
Perform project/cost center reconciliation periodically. Revies expenditures with the Director/Vice Provost as needed.
Provides Payment Works support and processing.
Processes and provides support for off-cycle pay requests.
Processes and provides support for Authorization for Personal Services (APS) payments.
Reviews and processes the entertainment expense support.
Process expense reimbursement, travel authorizations, and Non-PO vouchers.
Provides support for onboarding process and procedures.
Process e-form documents and utilize PeopleSoft to assist with e-form processing.
Process Miner Mall requisitions.
Process budget transfers and expense reclassifications.
Implements and adheres to established goals, policies, and priorities for the Business Center.
Confers with departments for clarifications and specifications on reports and preferred supplies. Ensures products or services are compatible with university networking systems.
Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
Coordinates recruitment and hiring efforts for exempt and non-exempt personnel; creates employment requisitions for posting; reviews applications and related documentation as needed.
Ensures timely and accurate processing of all personnel actions in automated HR system to include, but not limited to, creating and submitting documents/ requests via respective institutional systems, in accordance with established University and Human Resource Services policies and procedures.
Provides informational assistance to prospective and current employees regarding the university; collaborates closely with Human Resource Services regarding HR matters as needed.
Identifies and resolves issues, concerns, discrepancies, problems, and inconsistencies, determining appropriate corrective procedures.
Maintains a high degree of confidentiality and ensures safety of all confidential and sensitive information this position is privy to.
Acts as liaison between departments and internal or external customers; interacts with clients by telephone, electronically or face to face to identify and support their transactional needs/requirements
Handles and resolves customer complaints and elevates unresolved issues to the appropriate resources
Manages client expectations and provides consistent client updates. Keeps records of client interactions, transactions, and actions taken. Communicates and coordinates with internal departments as needed to resolve client issues.
Works extensively with all MS Office suite products, Human Resource and Finance ERP systems, specifically Peoplesoft, and other institutional software systems, such as Banner Hyperion, etc.
Complies with all federal, state and local laws, and University of Texas System, Regental, and UTEP policies.
Other duties may be assigned.
