JOB SUMMARY:

The oncology field focuses on the prevention, diagnosis, and treatment of cancer. Oncology Patient Access Representative work closely with oncologist, nurses and other healthcare professionals who specialize in cancer care. This role primarily involves providing administrative support and ensuring a smooth process for patients receiving oncology treatment.


MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS:

  • Greet patients and visitors in a courteous and friendly manner, creating a welcoming environment and ensuring a positive experience from the moment they arrive in the clinic.
  • Efficiently check-in patients by verifying their personal and insurance information, collecting necessary forms, updating demographic details, and accurately entering data into the electronic medical records system.
  • Verify patient insurance coverage and eligibility, verify authorization if required, and assist patients in understanding their coverage and potential out of pocket expenses.
  • Collect co-pays, deductibles, and other payments according to established guidelines.
  • Answer phone calls between departments to address patient inquiries regarding appointments, procedures, and general information.
  • Coordinate scheduling of appointments and rescheduling if necessary, coordinating with physicians, nurses, and other healthcare staff to ensure optimal appointment availability and patient flow.
  • As a primary point of contact for patients, addressing general inquiries, providing directions within the clinic, and resolving any concerns or issues in a timely and professional manner.
  • Assist in maintaining a clean and organized reception area.
  • Collaborate closely with clinical staff, including nurses, physicians, and medical assistants, to ensure seamless patient workflow, address logistical concerns, and provide necessary patient information.
  • Facilitate effective communication between patients, families, and healthcare professionals, ensuring that all parties have the necessary information to provide quality care.
  • Responsible for knowing hospital policies and being familiar with hospital services that are available.
  • Demonstrates an ability to be flexible, organized and function well in stressful situations.
  • Stay updated on industry regulations, policies, and procedures, attend training sessions as required, and maintain compliance with HIPAA and other relevant guidelines.
  • Accepts and completes other duties as assigned or requested.
  • Must maintain accurate time clock punches, punch in and out according to hospital policy.
  • Must maintain a professional attitude.
  • Must wear appropriate clothing acceding to dress code.
Qualifications


ACCOMPANYING KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES:

  • Excellent interpersonal and communication skills, with the ability to empathize with patients and their families.
  • Strong attention to detail and accuracy while handling sensitive patient information.
  • Proficiency in using electronic health record systems and proficient computer skills.
  • Ability to multitask, prioritize workload, and effectively manage time in a fast-paced environment.
  • Knowledge of medical terminology, insurance processes, and billing practices is an advantage.
  • Willingness to adapt and learn new technologies and procedures as necessary.
  • Ability to maintain confidentiality and adhere to ethical standards of conduct.
  • Positive and compassionate attitude towards patients and their families.
  • Ability to maintain composure in stressful situations.

REQUIRED EDUCATION / EXPERIENCE:

  • High school diploma or equivalent
  • Proven experience in a similar administrative or customer service role, preferably in a healthcare setting.
  • Familiarity with medical terminology and oncology procedures is a plus.
  • Competence in using electronic health record systems.
  • Ability to work independently as well as part of a team.
  • Knowledge of medical terminology helpful and desired.
  • Quality customer service and communication skills an expectation.
