Essential Functions


The Data Specialist plays an essential role in the Office of the Registrar, ensuring that student academic records are accurate, organized, and up to date. This position is responsible for processing incoming transcripts, entering grades and test scores, reviewing transfer credits, and maintaining student records within the university’s student information system.

In addition to data management, the Data Specialist regularly works with Admissions, Financial Aid, and Academic Advising to support smooth and efficient enrollment and registration processes. This role also provides direct support to students and families by answering questions, assisting with transcript requests, guiding students through the TSI regulations, and ensuring necessary documents are received and processed correctly.

The Data Specialist contributes to larger office projects, including preparing for commencement and assisting with process improvements to enhance the student experience. This position is ideal for someone who is detail-oriented, organized, and enjoys both independent work and team collaboration within a student-centered environment.

1. Responsible for the download, printing and data entry of transcript data with little supervisory direction; responsible for maintaining the student record and ensuring timely and accurate information is maintained.
2. Inform prospective students of documents needed to complete the enrollment process; to ensure that scanning and evaluation of academic documents, and entering information into the student system.
3. Collaborate with Admissions, Financial Aid, and Academic Advising in all aspects of data processing.
4. Data entry of test scores and related documents in order to clear student TSI requirements.
5. Assist with the scanning of academic credentials; evaluate transcripts to prepare them for data entry; file documents and assist with the creation and completion of the academic files.
6. Assist students in obtaining their transcript.
7. Answer phones, greeting students and parents.
8. Assist with commencement.

Required Qualifications


1. Associate's degree.
2. Two (2) years of experience in administration or in similar field.*

  • degree will be considered in lieu of experience.

1. Bachelor’s degree.

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.


Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
6. Standard working conditions may differ depending on department and occupation
