Primary Purpose

The Coordinator reports to the Director of the Transformational Change Partnership and provides administrative and logistical support to the partnership and the other public policy programs under the University of the Pacific. The Coordinator is responsible for planning and supporting in-person and virtual meetings, clear communication among partner organizations and participants, and administrative activities.

Essential Functions

  • Plan for and provide the physical, logistical and other support needs for in-person and virtual meetings. Those needs include, but are not limited to, meeting space, travel, lodging, food and physical and electronic materials, as appropriate.
  • Assist in the preparation and distribution of printed and digital materials to partners and participants, including agendas, presentations, engagement materials and other documents.
  • Assist with the development, editing and transmittal of proposals, reports, and deliverables. For example, grants from state agencies and philanthropic entities.
  • Assist with scheduling of meetings for the Director and other members of Pacific's TCP team and participate where necessary.
  • Resolve routine problems with minimal consultation; handle multiple assignments and prioritizes in a constantly changing work environment.
  • Develop and evolve current administrative and coordinating processes as needed. Further adapt these documents as necessary. For example, in-person session logistics.
  • Assist with the tracking department budgets as needed: track expenditures, accounts payable, reimbursements and manage miscellaneous vendor accounts.
  • Assist with the development of contracts and guide contracts through the approval process to ensure compliance with university procurement channels and policies.
  • Guide the development and maintenance of a website for the TCP program, and other social media and marketing materials as appropriate with McGeorge marketing team and TCP Staff.

Minimum Qualifications

  • Forty-eight (48) units of completed post high school education coursework. (Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post high school education coursework.)
  • Two (2) years of related work experience.

Preferred Qualifications

  • Bachelor's degree.
  • Experience and knowledge of office management principles and procedures.
  • Three (3) years of increasingly complex administrative experience.
  • Positive attitude.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Communications and reasoning

  • Excellent communications and interpersonal skills, as this position will interact regularly with partner organizations, state and local agencies, university, funder and NGO leaders.
  • Advanced English and composition skills, as well as the capacity to exercise diplomacy and deal effectively with a variety of situations in a calm, precise way.
  • Ability to create, compose and edit reports, letters, and other materials.
  • Ability to multitask, organize resources, and establish priorities in a fast-paced, demanding environment.
  • Assume responsibility and work effectively with minimum supervision.
  • Ability to coordinate a variety of professional activities, correctly interpret and explain policies and procedures, and work well with tight deadlines while maintaining complete confidentiality. An exemplary work ethic and commitment to the mission and goals of the Law School.

Computer And Technical Skills

  • Knowledge of planning and scheduling techniques, budget and general accounting practices, voice and e-mail communication systems. Qualified candidates will have advanced Word, Excel, and PowerPoint skills. Website management (i.e., file, photo, database tables).

Work Environment/Work Week/Travel

Work performed during standard business hours.

Hiring Range: $20.35 - $26.96 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
