Primary Purpose
Under the supervision of the Director of Global Education, the Education Abroad Advisor is responsible for advising students and managing the full life cycle of outbound student exchange, affiliate, and internship programs. This includes promotion, recruitment, application processing, pre-departure preparation, experience abroad, and re-entry. The position also provides support for incoming international exchange students and plays a key role in student engagement, risk management, program administration, and communication with international partners.
Additionally, the Education Abroad Advisor oversees promotional efforts, including social media management, website design, and event coordination. The role requires strong attention to detail, excellent organizational skills, intercultural awareness, and the ability to collaborate effectively with students, faculty, administrators, and global partners. Creativity, proactive initiative, and enthusiasm for global education are highly valued.

Hiring Range: $33.00 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.

Essential Functions
Student Advising & Program Coordination
- Advise students on study abroad, exchange, affiliate, and internship programs, ensuring alignment with academic and career goals.
- Assist students in selecting and applying for programs, ensuring timely application processing.
- In collaboration with Academic Advisors, guide students through the approval of study abroad curriculum according to University of the Pacific standards and student needs.
- Provide assistance with scholarships and financial aid options, ensuring students receive necessary funding information.
- Coordinate the transfer of academic records into DegreeWorks in a timely manner.
- Communicate regularly with international partners and program providers to ensure program quality and student support.
- Support risk management policies and procedures, assist with crisis response, and ensure compliance with institutional policies.
- Administer social media, website design, and newsletters to effectively market education abroad opportunities.
- Organize major events such as study abroad fairs, International Week, and other promotional activities.
- Develop and implement a comprehensive outreach plan, including classroom visits, collaboration with faculty, and advising sessions.
- Assist in the development of a program-matching chatbot.
- Administer and manage the Study Abroad VIA software, including daily updates of incoming and outgoing information, content design, and overall system oversight. Maintain regular communication with VIA staff to ensure system functionality and seamless integration with the institution's website.
- Contribute to the redesign and enhancement of the study abroad website to improve usability and accessibility.
- Supervise and coordinate the Education Abroad Peer Advisors team, providing training and professional development opportunities.
- Oversee study abroad invoicing and financial processes, working closely with administrative and finance departments.
- Manage the overall study abroad process, from program promotion and advising to application processing and student support.
- Conduct pre-departure orientations to prepare students for cultural adjustment, health & safety, and academic expectations abroad.
- Assist students with visa applications, travel logistics, and international compliance requirements.
- Monitor and communicate travel advisories, safety protocols, and emergency response procedures.
- Other duties may be assigned at the discretion of the Director of Global Education.
Minimum Qualifications
- Bachelor's degree in International Education, Graphic Design, Media Design, Intercultural Communication, Public Relations, or a related field.
- Two (2) years of relevant experience in international education, student advising, or program coordination.
- Master's degree in International Education, Graphic Design, Media Design, Intercultural Communication, Public Relations, or a related field.
- Experience managing multiple, ongoing projects in a fast-paced environment.
- Strong intercultural communication skills and experience working with diverse populations.
- Significant international experience (study, intern, volunteer, or work abroad).
- Experience in study abroad program management, including faculty-led, exchange, or affiliate programs.
- Background in student recruitment, campus outreach, and event coordination.
- Experience with professional social media management and marketing strategies.
- Ability to communicate in at least one additional language beyond English.
- Proficiency with study abroad management systems (VIA, Terra Dotta, or similar).
- Knowledge of visa processes, travel logistics, and risk management in international education.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.
