8am-5pm, M-F, depending on departmental needs. Hybrid work schedule available.

(This position has the ability to telework remotely for a portion of each week. An employee hired into this role will be responsible for providing space, printing, networking and/or internet capabilities at the telecommute location and agree to the terms of the University of Utah campus Telecommuting Agreement while working remotely.)

Job Summary

Duties, in summary, include ensuring accurate and proper supplier information is collected and maintained within the guidance of University Policy and IRS guidelines. Review many incoming financial documents to ensure accurate and prompt payments. Provide primary customer support for campus departments by responding to customer inquiries and providing training and guidance on preferred payment methods and University Policy. Reconciliation of accounts as needed. Contact departments to obtain additional information and/or documentation as needed. Work closely with other Financial Services departments as needed. Maintain confidentiality and security of departmental and personal information.

Responsibilities

Maintains and reconciles accounts and corrects journal entries as necessary. Tracks and reports revenue and expenditures.

Prepare departmental or grant budgets and cost reports and analyze variance.

Review expense and accounting documents for accuracy and appropriate approvals and ensure transactions are charged to the correct account.

Handles accounts receivable for department including invoice preparation, bank deposits, aging reports, follow up on past due accounts.

Prepares and processes purchasing and travel documents. Solves problems with invoices and processes for payment.

Serves as department payroll reporter. May track department payroll expenses and ensure labor costs are charged to the correct accounts.

Reviews and reconciles University procurement and purchases.

Reconciles monthly management statements and maintains backup documentation.

Creates special checks or check requests.

Tracks and controls department inventory.

Supervises and trains accounting clerks and other clerical staff.

May serve as petty cash custodian for the department.

May purchase and maintain office supplies for the department.

Minimum Qualifications

Associate’s degree in Accounting, Finance or a related field, plus two years full-time clerical accounting experience or equivalency (one year of education can be substituted for two years of related work experience) required. The ability to understand, interpret, and apply University and departmental regulations; demonstrated spreadsheet skills; and demonstrated human relations and effective communication skills required. Experience using software programs such as PeopleSoft or Kronos may be required for certain positions.
