Undergraduate Academic Affairs has an outstanding opportunity for a Manager for Engagement & Communications to join their team.

Undergraduate Academic Affairs (UAA) shapes, advances and stewards a world-class undergraduate academic experience for students at the University of Washington. Staff, faculty and students in UAA deepen and enrich the learning experience for all undergraduates, recognizing and supporting the unique learning path of each individual student and the commitment of each academic program to excellence in learning and teaching.

Within UAA, First Year Programs (FYP) is responsible for the annual entry and transition of all new University of Washington students (approximately 9100 first year and transfer students) and family members (about 5000). First Year Programs fosters a successful undergraduate student experience through strategic programming that focuses on positive academic transitions and the development of learning communities. FYP adheres to the guiding philosophies of collaboration, intentionality, diversity and inclusion. Specific FYP programs include: Advising and Orientation programs, Parent Orientation, Dawg Daze Welcome Week, the First-year Interest Group (FIG) program, University seminars, and the Commuter and Transfer Commons.

We have an outstanding opportunity for a Program Manager for Engagement & Communications to be responsible for the oversight and management of first-year student engagement communications & publications, teaching in the First Year Interest Group program, and managing all student leader recruitment, selection and hiring (RSH). This position oversees RSH coordination and departmental communication efforts. They will also facilitate and teach sections of the First-year Interest Group (FIG) course for spring and autumn. The success of this position is highly dependent on strong organizational and project management skills, establishing and maintaining successful relationships with colleagues and units within Undergraduate Academic Affairs (UAA) Advising, Academic Support Programs, the Office of Minority Affairs & Diversity (OMA&D), Student Life, college and departmental units (including administrative and academic advising offices), faculty, senior campus administrators, and external partners, sponsors, and suppliers.

The position requires the use of a collaborative and collegial approach with campus partners, administrators, faculty and staff to identify and implement policies and programs that enhance undergraduate student transition and campus climate. This position requires the use of sound judgment and a thorough understanding of higher education policies related to diversity, undergraduate education, training, co-curricular, and social programming. The position will utilize independent judgment in the execution of duties and will resourcefully manage his/her responsibilities under the leadership of the Assistant Director.

DUTIES AND RESPONSIBILITIES:

Communications: Marketing & Print Publications - 35%
  • Lead design and editing process for the annual first year programming publications (Husky Guide, Annual Report, Brochures), distribution is 10,000 units annually.
  • Design and produce office signage and operational materials.
  • Work within University brand guidelines to produce materials.
  • Support student-facing marketing and communications efforts including Advising & Orientation emails.
  • Assist in maintaining communications with offices on and off campus.
  • Train and provide guidance to staff on Marketo communication system.
  • Track and manage digital engagement annual budget.

    Manage the student staff recruitment & selection process -20%
  • Primary lead in all recruitment, selection, and hiring processes for processes that yield 280 offers (Advising & Orientation, Dawg Daze, First-year Interest Group Leader positions).
  • Facilitate conversations with program managers to co-design rubrics and interview questions.
  • Implement training for student leaders participating in reading applications, individual & group interviewing.
  • Oversee all communications from the recruitment through hiring stages.

    First Year Engagement Program Support & Assessment - 20%
  • Provide on-call coverage and administrative support during Advising & Orientation and Dawg Daze programming.
  • Facilitate focus groups for Orientation Leader position in the summer and first -year students in the academic year.
  • Assess and implement the first-year experience survey.
  • Provide support and planning for Family Orientation.
  • Evaluate current assessment efforts and make recommendations for future planning.

    Course Facilitation - 10%
  • Serve as the instructor of record for the academic success courses General Studies 270/470 to support 30 First-year Interest Group (FIG) Leaders each Spring and Fall Quarter. These courses promote academic success by facilitating students’ engagement in their own learning. Specifically, the purpose of these courses is to ensure that current students are better able to support incoming first year and transfer student transitions. Teaching these courses is a part of this position’s regular duties, does not authorize excess compensation, does not require nor confer a faculty title, and is subject to UWHR policies (e.g., student complaint resolution).
  • Participate in teaching and curriculum meetings.

    Campus Engagement - 10%
  • Attend and participate in campus activities and serve on departmental and university-wide committees as requested.
  • Provide guidance to First-year experience student advisory council annually.

    Provide direct supervision for the following student positions - 5%
  • Student Coordinator for FY Marketing (2 student employees).
  • Oversee student volunteers for RSH.


    MINIMUM REQUIREMENTS:

  • Bachelor's degree
  • 2-4 years’ experience in higher education working with diverse populations.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS

  • Excellent communication and interpersonal skills.
  • Strong project management skills and supervision.
  • Strong organizational skills, creativity, attention to detail, and ability to work under pressure and deadlines.
  • Demonstrated initiative and the ability to work independently and be flexible while being part of a team.
  • Familiarity with Microsoft Office Products (Word, Excel, Access, Teams, and PowerPoint).
  • Ability to work independently and stay on task.


    DESIRED QUALIFICATIONS:

  • Experience creating print-ready documents in Adobe InDesign, Photoshop, and Illustrator
