What are the responsibilities and job description for the Research Program Administrative Assistant position at University of Wisconsin Department of Emergency Medicine?
The Research Program Assistant will provide exceptional administrative support to a growing cadre of research faculty at the BerbeeWalsh Department of Emergency Medicine (DEM), University of Wisconsin School of Medicine and Public Health.
DEM conducts high-impact clinical and translational emergency care research that improves patient care, clinician education, and health system and community coordination. Our research faculty are committed to expanding effective, equitable, and meaningful care for patients and their caregivers.
This position is responsible for tracking, prioritizing, organizing, and communicating multiple initiatives at various stages of progress, facilitating meetings, coordinating travel and expense reimbursements, and more. The position requires outstanding administrative, organizational, interpersonal, and computer skills, as well as the ability to work independently and proactively. As this position must interface with internal and external partners — including in academic, clinical, and industry fields — a high level of professionalism is expected.
Responsibilities
- 30% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
- 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
- 20% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
- 10% Serves on committees and attends meetings, representing the interests of the unit or program
- 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
Qualifications
- Bachelor’s degree preferred
- Two years of administrative experience, including scheduling and calendar management
- Professional level use of Microsoft Office suite, and prior experience with Smartsheet
- Experience working in an academic environment
- Experience coordinating meetings, including room reservation, purchasing, etc.
