Position Summary
The Admissions and Recruitment Coordinator II, with a working title of Transfer Admissions Counselor, will report to the Associate Director of Admissions. This position plays a very important role in the recruitment and outreach of the Admissions Office. Our goal is to increase the number of applicants to the University and enroll the most talented student body. This staff member will meet with prospective transfer students and their families, students who are applying for re-entry to UWL, various groups on and off campus, alumni, and other contacts to promote the opportunities offered at the University of Wisconsin-La Crosse. A significant part of the recruitment process will be establishing and nurturing relationships that serve as a conduit for students to learn about UW-La Crosse. This staff member will collaborate with other Admissions Office staff members, working together to coordinate recruitment activities. Travel is required, especially during the fall and spring recruitment seasons.

Required Qualifications
  • Bachelor’s degree (Degree must be posted by hire date.) Accreditation standards of degree-granting institution must meet acceptable levels of quality and academic standards.
  • Experience working in admissions or related area of higher education.
  • Excellent written communication and public speaking skills.
  • Ability to exercise professional judgement and maintain confidentiality.
  • Ability to be adaptable and manage multiple competing priorities.
  • Keen attention to detail.
  • Strong organizational skills.
  • Valid driver’s license.
  • Able to become an authorized driver based on UW-La Crosse Driver Authorization Policy.
  • Ability to lift and transport materials up to 35 pounds.

Preferred Qualifications
  • Master’s Degree. Accreditation standards of degree-granting institution must meet acceptable levels of quality and academic standards.
  • Experience working with undergraduate transfer students in admissions or a related area of higher education.
  • Ability to use and learn multiple computer technologies (such as PeopleSoft, ImageNow, Microsoft Office).
  • Fluency in a second language.

Working conditions and environment
Typical work hours are Monday – Friday, 8:00 a.m. – 4:30 p.m. However, limited evening and weekend hours will be required. Ability to travel throughout the Midwest by automobile is also required.

The Division of Student Affairs’ role is to enhance and support students learning experience here at UWL. We work closely with faculty, staff, community members, alumni and most importantly, students to provide quality programs and services which promote learning, leadership, involvement, service and the celebration of diversity. The Division includes a number of departments: Admissions and Recruitment, Campus Child Center, Counseling and Testing, Student Health Center, Intercollegiate Athletics, Recreational Sports, Residence Life, Student Life, University Centers, and the Vice Chancellor & Dean of Students office. Duties to Support Responsibility
  • Coordinate and implement a personalized recruitment program involving visits to community colleges, technical colleges and the Universities of Wisconsin through phone calls, correspondence and campus visits. Develop and maintain positive relationships with staff and students from all two-year and four-year institutions.
  • Maintain appropriate records to monitor recruitment, tracking students from inquiry to enrollment.
  • Represent UW-La Crosse during college fairs, college night programs and other events.
  • Meet individually with prospective students and families in a variety of settings.
  • Present admissions information to small and/or large groups of prospective students/families in a variety of settings.
  • Respond to email requests from prospective students through personal university email account as well as the general admissions office email account.
  • Be knowledgeable about all aspects of the admissions process for new transfer and re-entry students, including admissions policies, guidelines and procedures, standardized tests, financial aid, costs, placement exams, registration procedures, residence life, etc.
  • Be familiar with academic programs of the University and other opportunities available.

  • Provide transfer credit reports for undergraduate new freshmen, new transfer, and returning/re-entry students, including military credentials.
  • Determine course equivalencies utilizing online course catalogs, syllabi, and by working closely with academic chairpersons, academic service directors, and academic service coordinators.
  • Support the Associate Director in maintaining, developing and promoting transfer articulation documents such as transfer equivalency guides and agreements.
  • Collaborate with appropriate offices to maintain transfer credit database.
  • Support Universities of Wisconsin transfer related initiatives, i.e. Universal Credit Transfer Agreement

  • Serve as the primary on-campus contact for prospective transfer and re-entry students, provide accurate and timely information regarding transfer policies and procedures, admission requirements, transfer of credits, and other enrollment related issues.
  • Interpret and implement the Universities of Wisconsin undergraduate transfer admissions comprehensive review policy when evaluating transfer applications, records and transcripts.
  • Utilize PeopleSoft Campus Solutions Student Information System and ImageNow Document Management software to process and review applications.
  • Follow-up with applicants to encourage submission of all required application materials, deposits, final transcripts, etc.

  • Assist with the preparation and mailing of all admission and registration related information to all newly admitted transfer and second degree students.
