Job Summary
The Administrative Assistant Director is a strategic leadership position in the Student Union. Working in collaboration with the Director and departmental leadership, this position leads the planning and direction of all administrative and financial operations that support the Student Union. The Student Union includes both the facility, and operational areas including Marketing Services, Student Involvement, Event Services, Building Operations, and various sub-units.
This position engages in strategic planning to ensure strong financial management throughout the department. This position facilitates the departmental budget process, fiscal management and internal controls necessary to stay within budget and forecast contingencies. This position exercises independent decision making in authorized areas and must communicate information to leadership of the department, the Division and campus administration.
Oversight responsibilities include, but are not limited to: daily accounting, financial records management, month-end (or more often as needed) reconciliation accounting, accounts receivable billing, financial forms management, and budget development and implementation. This position serves as the primary Human Resources liaison for the department. Other administrative accounting functions include, but not limited to: processing and auditing purchase card transactions, expense reports, procurement activities and inventory.
Minimum Qualifications

Applicants for this position must have:
- A Bachelor’s degree
- Experience with Financial Management including: Preparing Budgets and forecasting, Auditing Invoices, Purchasing, and Billing.
- Experience providing customer service in financial-related matters
Highly qualified applicants for this position will also have:
- 5 or more years of experience in a financial business position
- Bachelors Degree in Accounting, Business Administration or related field
- Previous experience in a leadership position that included supervision of management level staff.
- Previous experience in budget management for current year and future strategic operations (forecasting).
- Previous experience working in non-profit or higher education financial operations
- Previous experience maintaining records of/for protected populations, especially in a higher education environment.
