Position Summary:

The Youth Program and Records Coordinator serves as the institutional youth program coordinator for camps, clinics, and youth programming and serves as the university records officer.

This position is responsible for providing administrative oversight, including the development and review of Federal and State regulations, policy, procedures, training, and a system of data collection for minors through the University of Wisconsin-Platteville's two campuses. The Coordinator works closely with the university's risk and compliance officers to address legal obligations and ensure the safety of campers and staff. This position coordinates, collaborates, and communicates with staff and third parties, developing audience-specific information and guidance.

The Youth Program Coordinator represents the university as pre-college liaison with UW System and acts on behalf of campus leadership to hold programs accountable for compliance with policies and procedures intended to reduce risk to minors on campus and the institution.

The position also serves as the university's Records Officer and is responsible for compliance with applicable state and federal laws, and policies and procedures of the University of Wisconsin System and Wisconsin Department of Administration. The Records Officer keeps current with statutes, regulations, and policies that pertain to university records practices to ensure compliance. Serves as a subject matter expert and main point of contact with internal stakeholders regarding public records policies, procedures, and records lifecycle requirements, and identifies institutional public records risks.

Responsibilities:

Youth Program Assessment and Compliance

  • Identify, propose, and implement new or revised operational policies and procedures to comply with regulations, institutional policies, and camp and/or clinic objectives through continual monitoring
  • Develop consistent administrative processes for creating and implementing youth program activities including monitoring dates, number of events, size of camps/clinics, University sponsorship, location of camps/clinics, use of University services (residential staff, Dining Services, Facilities).

Youth Program Coordination & Training

  • Collaborate and train faculty, staff, head coaches, and administrators on youth programming, including expansion opportunities.
  • Serve as the campus authority granting permission for all youth programming associated with UW-Platteville
  • Partner with UW-Platteville and Universities of Wisconsin Office of Risk Management and UW Office of General Counsel to review and approve certificates of insurance, affiliate agreements, and memorandums of understanding, when required

Records Management

  • Serve as the university Records Officer with responsibility for compliance with applicable state and federal laws, and University of Wisconsin System and Wisconsin Department of Administration policies and procedures. This includes keeping current with laws, statutes, and policies that pertain to University records practices to ensure compliance and maintaining a working knowledge of federal and state laws that relate to University records such as FERPA, HIPPA, and the Wisconsin Open Records Law.

What You'll Need to Succeed:

  • Bachelor's Degree from an accredited institution
  • 2-3 years of related experience administering/coordinating activities, managing projects, or related experience
  • Ability to build trust and work collaboratively with students, faculty, staff, administrators, and community partners and to balance the multiple, varying interests of diverse stakeholders
  • Excellent verbal, written and interpersonal communications skills, including training and presentation skills
  • Ability to exercise good judgment and to manage sensitive information
  • Ability to work independently
  • Ability to develop, implement and manage youth programming policies and procedures
  • Effective project management, organizational, and analytical skills
  • Ability to prioritize and manage multiple tasks in a timely fashion
  • Knowledge and experience with Microsoft Office software. Computer proficiency and experience working with spreadsheets, databases, etc.
