The University of Wisconsin-Stout's Purchasing and Materials Management department invites qualified candidates to apply for the position of Administrative Assistant Director, with the business title of Materials Management Supervisor. This is an on-campus position that supervises approximately six full-time employees and directs the activities of several units that provide operational support services to the university, including Mail Services, Surplus Operations, Shipping and Receiving, University Stores, and Printing Services. This is a full-time, limited appointee position that reports directly to the Director of Purchasing and Materials Management.

QUALIFICATIONS

Minimum / Required

  • Associate degree or equivalent experience
  • Two years' supervisory experience
  • Professional written and verbal communication skills across all levels of an organization
  • Excellent customer service skills
  • Ability to establish and maintain positive working relationships
  • Ability to manage and prioritize multiple tasks and projects

Highly Desired/Preferred

  • Bachelor's Degree or higher
  • Experience with common office productivity tools/applications such as MS Teams, MS Office, Google Docs/Sheets or similar
  • Experience leading process improvement and change management
  • Demonstrated progressive leadership responsibility
  • Experience monitoring and controlling expenses and budgets

RESPONSIBILITIES

  • Maintain a thorough knowledge of and provide oversight and guidance to the functional areas under supervision
  • Provide backup assistance during staff absences
  • Conduct personnel actions including hiring, training, managing schedules, conducting performance evaluations, and ensuring employees perform work in accordance with applicable policies and procedures
  • Identify and implement ideas for improvement in service quality and delivery, cost savings, and operational efficiencies
  • Direct the campus managed print program, which administers the purchase and use of multifunctional devices to meet the printing and copying needs of faculty and staff
  • Plan and coordinate the purchase equipment such as mail machines, forklifts, and vehicles, and coordinate maintenance as necessary with Facilities Management or external suppliers
  • Coordinate building maintenance work with the Facilities Management department to ensure continuity of services during construction work or special projects
  • Coordinate the removal and sale of surplus property via online auctions and in-person sales
  • Manage budgets for functional areas under supervision, including projecting budget needs, reviewing/revising service rates, and participating in quarterly financial reviews
  • Develop cost-recovery pricing models for service charges and ensure correct billing of customers
  • Prepare activity and financial reports associated with functional areas as needed
  • Provide consultative assistance to faculty and staff on requirements and processes related to functional units
  • Represent the department on university committees and workgroups, including the Safety and Worker's Compensation Committee and the Sustainability and Waste Reduction workgroup.
