Job Overview: The Tournament Director at Diamond Nation is responsible for overseeing the seamless operation of all youth baseball and softball tournaments. This includes managing game day operations, equipment and field setup, scheduling, and resolving issues as they arise. The position reports to the Director of Event Operations and may have interns and/or assistants to help with pre-tournament tasks and on-site management. The director will work closely with various departments, including maintenance, retail, and food and beverage, to ensure all aspects of the event are coordinated and aligned, providing an excellent experience for participants and families. The role requires a strong leader with excellent organizational and communication skills who can manage high-pressure situations and ensure positive outcomes for the event.
Key Responsibilities:

Pre-Tournament Planning & Organization:
- Coordinate the collection of tournament data and team registration information, in collaboration with the Director of Event Operations.
- Develop and maintain tournament schedules, ensuring efficient use of fields and facilities.
- Oversee the preparation and setup of equipment and fields in coordination with the maintenance team.
- Ensure all invoices related to the tournament (e.g., team registrations, facility fees, etc.) are satisfied prior to the start of the event.
- Communicate all relevant information to teams, coaches, officials, and other stakeholders.

On-Site Operations:
- Serve as the primary point of contact for coaches, players, and families during the tournament.
- Oversee game-day operations, ensuring events run on time and according to schedule.
- Make decisions on operational issues that may arise (e.g., weather delays, ejections, rule clarifications).
- Manage playoff seeding and bracket updates in real-time.
- Collaborate with the maintenance team to ensure fields are properly maintained throughout the tournament.
- Work closely with retail and food and beverage teams to ensure that the needs of participants and spectators are met, and operations are synchronized with the tournament schedule.

Employee Supervision & Staff Management:
- Supervise all on-site staff, including interns, field workers, scorekeepers, event assistants, and other tournament employees.
- Assign roles and ensure staff members are performing their duties to maintain tournament efficiency.
- Lead by example, promoting exceptional customer service and professionalism.

Collaboration Across Departments:
- Work closely with the Director of Event Operations to ensure smooth coordination between event teams and departments.
- Collaborate with the maintenance team to ensure timely setup, maintenance, and repair of fields and facilities.
- Coordinate with the retail and food and beverage departments to ensure the availability of concessions, merchandise, and services for tournament participants and fans.
- Ensure tournament schedules are synchronized with other park activities to avoid conflicts and maximize operational efficiency.

Tournament Communication:
- Maintain regular communication with coaches, players, and fans regarding schedules, changes, and any other event-related information.
- Handle disputes or issues that arise in a professional manner, ensuring fairness and transparency.
- Network with coaches and fans, addressing concerns and promoting a positive experience while upholding the code of conduct.

Award Ceremonies & Post-Tournament Activities:
- Organize and oversee award ceremonies, ensuring smooth and professional execution.
- Collect feedback from participants to enhance the experience and quality of future events.
- Complete any post-tournament data collection or reporting required by management.
Qualifications:
- Previous experience in sports tournament management, particularly in baseball/softball.
- Strong organizational, problem-solving, and decision-making abilities.
- Excellent communication and interpersonal skills, with the ability to work effectively with staff, participants, and the public.
- Proven leadership skills, including the ability to manage and motivate a team.
- Ability to collaborate effectively with other departments, especially the Director of Event Operations, ensuring seamless event operations.
- Flexibility to work evenings and weekends during tournaments.
- A strong commitment to upholding the values and code of conduct at Diamond Nation Sports Complex.
- Proficient in Microsoft Excel
- Familiarity in company software systems such as Microsoft Teams, EZFacility, LeagueApps, TicketSpice, and Arbiter is not necessary but preferred.
Physical Requirements:
- Ability to walk, stand, and move around the complex during tournaments.
- Ability to lift and set up sports equipment as needed.
- Comfort working outdoors in various weather conditions.
