Overview
This position coordinates the Departments daily sourcing needs to our external outsourcing partners, independent contracted Digitizers and Artists; domestic and international. Responsibilities include working with management to define daily, weekly, and monthly outsourcing needs, balancing workload between the different sources, pulling proofing and determining what to outsource and what to direct internally. Additionally, this position handles coding orders for Auditing, making sure orders meet embroidery restrictions, searching, collecting, and providing all needed Refer Tos, making eps files, and sharing any new Production Art basses, process methods, or guidelines. Communicating daily with our Outsourcing partners as well as internal Digitizers and Artists in a clear and patient manner. Answering or directing all queries to the proper work steps. And working closely with management to address problems and maintain efficiencies.
In the event of light or shifting workloads this person may be directed to help with Auditing, Downloading, Processing, or Double Proofing.
Must be organized, very detail oriented, able to follow directions well, good at multi-tasking, a positive attitude, and a self stater. Knowledge of basic digitizing is a plus.
Essential Duties and Responsibilities
Sourcing - Essential Duties and Responsibilities
- Receives designs to outsource; Consults with Art Resource Planner and pulls correct work to be sourced; If needed makes sure proper refer-tos are placed in FTP server; Checks licensing marks and indicates in the question log what the digitizer needs to do if directions are unclear; Communicates to sourcing partner variances in workload and work schedule. Assigns art orders to certain outsourcing partners.
- Communicates daily with Outsourcing Partners by phone or email. Occasionally, they have conference calls or Skype with outsourcing partners
- Follows up with Outsource Digitizers on orders approaching art complete dates and ship dates and selects the correct orders to source to the Digitizers.
- Reports to Office Coordinator on a weekly basis the previous week’s output from the outsource Digitizers for GEAR, Champion and Under Armour.
- Manages orders and workflow on desk. Maintains record keeping.
- Answers art information, garment colors, garment style and quantity questions.
- Ensures that sourced designs are sent correctly and on time and gets the designs to the next process step on time. Maintains reliability through weekend work and overtime, when needed
Auditing - Essential Duties and Responsibilities
- Audits outsource stitch/art files as they return from our various external, independent, contracted sources to ensure orders are correct upon return.
- Ensures quality by communicating clearly and concisely with the Outsource digitizers the Rework and Revisions.
- Reports to Supervisor or Lead Digitizer on a weekly basis the previous weeks’ Outsource Digitizers accuracy, questions and concerns.
- Communicate with ATR through dashboard, e-mail, or in person regarding changes that need to be made to orders regarding process methods, thread colors, garments, etc.
- While auditing, must be aware of spelling, garment restrictions, garment location restrictions, new processes, garment tonal guides, etc. Knowledge of Licensing rules and preferences for schools.
- Check that the entire order & art to make sure they are correct, especially mascots, logos and seals when going across multiple garment colors and thread sequences.
- The ability to recognize whether a mistake on an order or art lies with our Outsource Partners or with internal staff.
- Takes part in bi-weekly or monthly conference phone calls with Outsourcing Partners to stay in touch, give critiques, discuss issues, etc. for continual improvement.
- Maintains reliability through weekend work and overtime, when needed.
Minimum Qualifications
- High school diploma or general education degree (GED)
- 1 year of related work experience is preferred, but not necessary
- Basic Macintosh skills and the ability to develop proficiency with Oracle.
- Working knowledge of Adobe Illustrator.
