Executive Assistant / Creative Project Manager is a dynamic and strategic professional who ensures seamless communication and project execution between clients and our creative teams working alongside our executive team. This role is pivotal in nurturing strong client relationships, guiding them through every phase of the creative process, and delivering impactful solutions on time and within budget. The ideal candidate will bring both strategic thinking and hands-on project management skills to oversee client engagements, from initial discovery through to final delivery.

Key Responsibilities :

Client Relationship Management :

Serve as the primary point of contact for clients, ensuring clear, consistent, and effective communication.

Build and maintain strong, long-lasting relationships by actively listening, asking insightful questions, and providing smart, strategic recommendations.

Lead client meetings, including discovery sessions, creative presentations, feedback sessions, and ongoing consulting.

Project Liaison :

Act as the key liaison between the client and internal creative teams (design, copy, and operations) to represent client needs and ensure their expectations are set and met.

Initiate and facilitate direct communication between clients and the team, ensuring alignment throughout the project lifecycle.

Project Management & Coordination :

Oversee and manage multiple projects simultaneously, ensuring each project is delivered on time, within scope, and on budget.

Develop and manage detailed creative briefs and communication plans that guide the team’s efforts and meet client objectives.

Monitor progress, resolve challenges, and ensure the creative process runs smoothly, from strategy development to creative delivery.

Creative Strategy & Execution :

Collaborate with internal teams to research, internalize, and apply insights to create compelling, effective creative strategies.

Guide the creative development process to deliver high-quality and on-brand outcomes that align with client goals.

Problem Resolution & Quality Assurance :

Proactively resolve any issues or roadblocks, ensuring that client needs are met and that the final deliverables exceed expectations.

Ensure the highest quality of service delivery across all touchpoints with the client.

Budget & Timeline Management :

Manage scope, schedules, and budgets for all assigned projects, ensuring that resources are allocated efficiently and deadlines are adhered to.

Required Skills and Experience :

Proven experience in client relationship management, with a demonstrated ability to engage clients, understand their needs, and offer strategic advice.

Strong understanding of creative project management best practices, methodologies, and principles.

Excellent communication skills, both written and verbal, with a keen attention to detail.

Ability to manage multiple complex projects simultaneously, balancing competing priorities and deadlines.

Demonstrated ability to lead cross-functional teams and drive projects from inception through to final delivery.

Strong problem-solving abilities and a proactive, solutions-oriented approach.

Organized to the point of obsession and skilled with project management tools (we use Teamwork and Google Suite).

Qualifications :

Bachelor's degree in Design, Business, Marketing, Communications, or a related field (preferred).

3 years of experience in client relationship management, creative project management, or a related role.

Museum design experience is a plus.
