Position Overview :

We are seeking a detail-oriented and proactive Office Manager to support our growing team. In this role, you will be responsible for managing day-to-day operations at two office locations, ensuring the offices are running smoothly and the team is set up for success . Your role is pivotal to maintaining a welcoming, efficient, and well-organized environment for our team and visitors. The ideal candidate will be a strong communicator with a passion for organizing and maintaining a functional and positive office environment.

Key Responsibilities :

  • Vendor Management :

Serve as the main point of contact for vendors including craft services, cleaning crews, parking services, alarm company, and more.

  • Ensure timely restocking of kitchen supplies; maintain relationships with facilities vendors to ensure service levels are met.
  • Office Operations & Policies :
  • Educate and enforce office policies; support new hires and guests in accessing the building and getting situated.

  • Monitor and maintain office supplies and facilities inventory to ensure office is stocked and ready for daily use; coordinate with outside vendors as-needed.
  • Oversee the general upkeep of both offices, ensuring they are clean, organized, and safe.
  • Track office-related expenses and work within the established budget for supplies, vendor services, and events. Provide regular reports on expenses and suggest ways to optimize costs.
  • Event & Team Support :
  • Support execution of in-office events and team gatherings, including logistical support, meals and office preparation.

  • Support team members during onboarding, offboarding, and as-needed (e.g., ordering supplies, training on office equipment, obtaining equipment back during offboarding, etc.)
  • Facilities Management :
  • Oversee the facilities maintenance; liaise with facilities vendors to ensure both offices are properly equipped for daily use.

  • Manage scheduling for room and equipment usage; provide support when needed for Zoom / conferencing needs.
  • Ensure safety and emergency procedures are in place, including fire safety equipment and emergency exits.
  • Qualifications :

  • 3 years of experience in office management, ideally in a creative or entertainment environment.
  • Must be adaptable and flexible, able to handle both day-to-day operations and last-minute requests.
  • Strong attention to detail and organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication and interpersonal skills; ability to manage vendor relationships and be a friendly face to all who enter our offices.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite
  • Ability to work independently and as part of a team in a fast-paced environment.
