What are the responsibilities and job description for the Accounting Clerk and Administrative Assistant position at Up-Side Management Company?
Our growing company is seeking to hire an Accounting Clerk / Administrative Assistant in the Belle Chasse, Louisiana area. The Accounting Clerk / Admin Assistant will be responsible for daily accounting transactions as well as various administrative duties as assigned.
To be successful in this position you will need to be highly detail oriented and self-driven. The ideal candidate will be able to apply logic in order to accurately code or job cost all incoming invoices and payment applications. This position requires an individual who is a quick learner and meticulous record keeper.
Duties and Responsibilities
- Process daily Accounts Payable invoices and Subcontractor Pay Applications. This includes accurately coding and keying transactions
- Work with Project Managers and Superintendents as needed for job costing invoices
- Communicate with vendors and subcontractors regarding invoice corrections and inquiries
- Log into various online vendor accounts to download payable invoices as needed
- Accurately maintain all accounts payable files, both physical and electronic
- Set up new vendors and subcontractors in accounting system
- Complete and return credit applications for new accounts
- Coordination of and review/follow up on New Hire paperwork
- Dispatch employees for pickups and deliveries
- Enter credit card transactions for project managers and superintendents as needed
- Assist with other accounting projects or initiatives, such as annual audits, etc.
Education and Experience
- Associate degree in Accounting
- Minimum of four years of hands-on Accounting experience in Accounts Payable
Knowledge, Skills, and Abilities
- Good understanding of general ledger accounts and associated cost pools
- Must be proficient in Microsoft Office and Adobe Acrobat
- Strong time management and organization skills
- Ability to maintain confidentially
- Ability to professionally communicate both verbally and in writing is required. Excellent interpersonal skills are essential
- Ability to accurately organize, prioritize, plan, and complete all job responsibilities
- Previous experience in construction accounting is preferred
- Maintains a dependable attendance record
Working Conditions
- Light physical effort equal to frequent lifting or moving of lightweight materials
- Regularly required to sit or stand, bend, and reach
- Must have valid driver’s license and be insurable on the company insurance
