The Front Desk Associate serves as one of the first point of contact for our Members and Guests - whether in person, by phone or via email. The key responsibilities include greeting and assisting our Members and Guests with warmth and professionalism, ensuring a seamless experience at the Club. The position is also responsible for managing the main phone line, sharing Club information (events, specials, and updates), and providing top-tier service to enhance the Club's reputation for hospitality, friendliness, and goodwill.
Key Responsibilities
- Oversee daily operations of the Front Desk/Reception area.
- Manage scheduling for the part-time Front Desk team and delegate tasks as needed.
- Answer multi-line phone system, transfer calls to appropriate extensions, and take messages.
- Manage member dining and event reservations, ensuring accuracy and prompt responses.
- Maintain professional telephone etiquette at all times.
- Monitor and respond to Front Desk emails, addressing Member request and inquiries.
- Operate the lobby, coat room, and Front Desk areas efficiently.
- Greet all Members and Guests upon arrival, providing exceptional service.
- Provide Members and Guests with event schedules and relevant Club information.
- Perform additional duties within the scope of the role, such as data entry, creating event materials (menus, buffet cards, etc.), and assisting with other administrative tasks.
- Design and update event flyers, menus, and digital content for print and online use.
- Compile and send email communications related to member events.
- Maintain and update the social event calendar to ensure accurate event promotion.
- Handle special projects and other duties as needed.
- Preferred schedule: 8:30AM-4:0PM, Tuesday-Friday (minimum 28 hours per week). Weekend shifts are available if desired.
- Strong communication skills (both written and verbal).
- Professional telephone etiquette and demeanor.
- Excellent interpersonal skills and a service-oriented attitude.
- Prior experience with multi-line phone systems and reception duties is a plus.
- Proficiency in Outlook 365, MS Word, Excel, and Publisher; experience with NorthStar and Canva a bonus.
- Ability to work both independently and collaboratively within a team.
- Self-motivated and efficient, with the ability to manage multiple tasks simultaneously in a fast-paced environment.
- Prior experience in a country club, restaurant, or hospitality setting is a plus, but not required.
- Must be able to interact with guests and colleagues in an attentive, friendly, courteous , and professional manner.
