Description

The Upper New York Conference of the United Methodist Church has an exciting opportunity for a part-time Administrative Services Assistant supporting the Benefits, Finance, and Human Resources departments. The hours for this position may vary based on business needs but it is expected to be 20 to 25 hours per week.


Responsibilities:

Benefits Department

  • Enter and maintain information in a variety of databases, including but not limited to: Address Changes, Contact Information, Organize and follow-up Clergy Compensation forms, Annual EAP census, Run ad hoc reports
  • Calculate and maintain clergy full-time equivalent years of service report
  • Communicate death information to appropriate parties
  • Support for Annual Conference Session for special meal events such as retiree and ordinand dinner and memorial luncheon
  • Prepare invoices and check requests
  • Maintain clergy files (hard copy and electronic)
  • Responsible for organizing, preparing, and sending mailings
  • Answer general benefit questions via phone call and email
  • Back-up support to front-desk Receptionist
  • Perform other duties as assigned

Human Resources Department

  • Direct inquiries regarding short-term disability claim forms to website
  • Respond to requests for disability and worker’s compensation certificates of insurance
  • Send out timesheet reminder email biweekly
  • Follow-up on timesheets needing approval
  • Assist with managing the process for new hire paperwork for seasonal staff
  • Answer general HR questions via phone call and email
  • Update website
  • General HR filing
  • Perform other duties as assigned

Finance

  • General Filing
  • Create ad-hoc reports as needed
  • Process daily mail received
  • Perform other duties as assigned

Requirements

Qualifications:

  • Two years’ experience in reception and/or administrative support functions, including formal business office training.
  • High school diploma/equivalent required; vocational training preferred.
  • Proficiency with Microsoft applications is required. Ability or experience with current office equipment.
  • Excellent organizational, communication, and customer service skills
  • Must maintain confidentiality in all aspects of Conference information
  • Excellent attendance and punctuality

Salary : $19 - $21
